We are seeking a highly organized and proactive Executive Assistant to provide high-level administrative support to the COO. The ideal candidate will be fluent in English possess excellent communication skills, and thrive in a fast-paced environment. This role requires discretion, professionalism, and the ability to manage multiple priorities efficiently.

Key Responsibilities:

  • Manage the COO’s calendar, appointments, travel arrangements, and correspondence.
  • Prepare and edit reports, presentations, and official documents.
  • Coordinate meetings, take minutes, and follow up on action items.
  • Serve as a liaison between the COO and internal/external stakeholders.
  • Handle confidential information with discretion.
  • Assist in project coordination and workflow management.
  • Perform general office duties, including filing, data management, and expense tracking.
  • Calendar management for executives
  • Aid executive in preparing for meetings
  • Responding to emails and document requests on behalf of executives
  • Draft slides, meeting notes and documents for executives

Qualifications & Skills:

  • Proven experience as an Executive Secretary, Executive Assistant, or similar role.
  • Fluent in English (additional languages are a strong advantage).
  • Strong organizational and time-management skills.
  • Proficiency in MS Office (Word, Excel, PowerPoint, Outlook).
  • Excellent written and verbal communication skills.
  • Ability to work under pressure and meet deadlines.
  • Professional demeanor with high attention to detail.
  • Bachelor's degree or equivalent experience
  • Proficient in Microsoft Office suite
  • Experience in managing multiple priorities, administrative coordination, and logistics
  • Well-organized, detail-oriented, ability to multi-task with great follow-up skills
  • Strong written and verbal communication skills
  • Previous experience in a corporate or executive support role.
  • Knowledge of office management systems and procedures.

Location: Sharjah (must be willing to work on-site).

Full-time position with standard office hours (flexibility may be required).

Job Types: Full-time, Permanent

Pay: Up to AED6,000.00 per month
