Overview
Electric Lighting Agencies (ELA + Synergy) is seeking a highly organized, proactive Executive Assistant to support ownership.
This role is ideal for someone who thrives in a fast-paced, relationship-driven environment and can manage multiple priorities with professionalism and discretion.
Duties Include
- Manage comprehensive calendar scheduling using Microsoft Outlook Calendar and Google Workspace, ensuring all appointments, meetings, and deadlines are accurately coordinated.
- Provide expert executive administrative support through efficient email management, document preparation, proofreading, transcription, and data entry.
- Organize and coordinate events, meetings, and conferences including venue arrangements, catering, and logistics to ensure seamless execution.
- Handle phone etiquette with professionalism across multi-line phone systems and manage incoming calls with courtesy and efficiency.
- Oversee office management tasks such as filing, record keeping, inventory management, and maintaining a clean and organized front desk environment.
- Support project coordination efforts by tracking deadlines, preparing reports, and collaborating with team members to meet objectives.
- Utilize office software including Microsoft Office Suite (Word, Excel), Google Workspace tools, and DocuSign for electronic signatures to facilitate document workflows.
- Perform clerical duties such as proofreading documents, transcribing recordings, managing data entry tasks, and maintaining accurate filing systems.
- Deliver exceptional customer service by addressing inquiries promptly and professionally while maintaining positive relationships with clients and visitors.
Experience
- Proven experience as an executive assistant or in a similar administrative role supporting senior executives or teams.
- Demonstrated proficiency in office management tasks including filing systems, front desk duties, and multi-line phone systems.
- Strong organizational skills with the ability to prioritize tasks effectively in a fast-paced environment.
- Excellent computer literacy with expertise in Microsoft Office (Word, Excel), Google Workspace (Gmail, Calendar), QuickBooks, and electronic signature platforms like DocuSign.
- Experience with event planning—coordinating logistics for meetings or company events—and project coordination is highly desirable.
- Exceptional communication skills with a professional phone etiquette approach; capable of handling confidential information discreetly.
- Attention to detail in proofreading documents and transcribing recordings accurately to ensure clarity and precision in all communications. Pay: $75,000.00 - $85,000.00 per year
