Overview

Palmerton & Parrish, Inc. (PPI) is a consulting engineering firm that specializes in geotechnical engineering, subsurface drilling, construction materials testing, special inspections, geophysics, and environmental services. PPI was founded in Springfield, Missouri in 1989, and is headquartered in Springfield still today. PPI also has branch offices in Branson and Joplin, MO.

The successful candidate will be detail-oriented with a positive attitude and strong work ethic. Problem solving ability and both written and spoken communication skills will be integral to the role. Must have the ability to work collaboratively and cooperatively with other team members and clients.

The Executive Assistant position is responsible for a variety of daily tasks and activities that are essential to the smooth operation of PPI. This position handles a wide variety of tasks requiring high attention to detail, accurate data entry, and effective prioritization and escalation of administrative issues. This is a multi-faceted position with a mixture of administrative, construction, accounting, managing, human resources, and customer-service related duties, including marketing, written and verbal correspondence with varied audiences, data entry, report review, and onboarding and training new employees, etc.

Primary Duties/Responsibilities

• Ensure all external & internal communications are handled promptly and in a professional manner
• Maintain filing systems and perform various data entry, processing, and timely distribution of project information
• Prepare, organize, and ensure completeness and accuracy of project-related and administrative materials and documents
• Basic accounting tasks such as entering expenses, accounts payable, invoicing
• Answer phones, taking and forwarding messages. May answer routine questions and provide follow through on routine requests
• Prioritize work, accordingly, escalate issues as needed, and build working relationships with employees and clients.
• A working knowledge of or the ability to learn and use database applications, the web content management system, and the business systems & software that may be used by PPI is required
• Assisting senior management in administrative tasks
• All other duties and special projects as assigned

Basic qualifications:

• Exceptional verbal and written communication, project management, and analytical skills
• Excellent organizational skills and attention to detail with an adherence to confidential matters
• Proficient with Microsoft Office programs including Excel, Word, PowerPoint, and Outlook; ability to learn other software required
• Must be proactive, self-motivated, and highly collaborative
• 2-3 years of experience providing support to executive leadership preferred
• Knowledge of the engineering or construction industry is not necessary, but would be beneficial
• High school diploma or equivalent. Bachelor's degree or higher desired
