Looking for one good person to be a full-time Executive Assistant. The job is supporting one executive who is a commercial mediator, executive coach, and trainer with a very busy calendar.
The right candidate will be experienced in assisting executives, have exceptional organizational skills and be very detail-oriented, flexible and able to wear many hats, computer literate, and have the ability to prioritize and organize a large number of tasks with efficient time management. S/he will be the face of the practice(s), interfacing with clients on a daily basis. Clients include legal professionals, client service professionals, and c-suite executives, so excellent communication skills and understanding of nuance are a must, both in writing and on the telephone. The busy position involves a lot of scheduling of meetings and appointments, lots of spreadsheet tracking and billing, written correspondence, and booking travel, both air and ground.
S/he will collaborate with a colleague on occasion to update company websites, manage the contact database, and process online product orders and maintain and update the various business websites as needed.
While the majority of the work is organized into easy step-by-step procedures and checklists, there are also moving pieces that require attention and focus. We will train as necessary, but the right candidate will be well versed and experienced with Microsoft Office (Word, Excel, Outlook, PowerPoint, Publisher, and OneDrive), Google Calendar (multiple calendars and invites), a standard database program, Robly for group emails, websites for airlines and hotels, all major social media sites and apps. High-level working knowledge of Word, Excel, Google Calendar (similar to Outlook), and the predominant social media sites are prerequisites.
The right person will bring a positive attitude, a collaborative approach, and fresh energy to the work. S/he is a responsible self-starter with the initiative to learn, persistent in their follow-through, and able to flex as priorities occasionally change. This challenging position will keep you on your toes and is anything but monotonous. Caring about the work and common sense in approaching it should go without saying.
The good news is that while it’s a job with 1,000 tasks to learn, it’s also a job that can generally be managed in an 8-hour day and offers a great work environment, for someone who enjoys working independently, in a quiet and peaceful environment, and managing their own priorities within the overall priorities of the business. There are some times when we may need to work on an occasional evening or Saturday, but we usually know well in advance, and are happy to arrange to swap days with flex time, such as providing a 3-day weekend in exchange.
If you are looking for a long-term career position with stability, are comfortable working on your own, and you’re over things like internal politics of a larger company, and needing to climb a corporate ladder and have a new title every six months, then the small company nature of this position may be just right.
Starting salary will be commensurate with experience and ability, but generally falling in the $52,000-62,000/year range, and a contribution to health benefits. The position will be remote, but ideally located in Los Angeles to help out occasionally with live events.
