Executive Assistant

Overview
We are seeking a dynamic and highly organized Executive Assistant to join our team and support our leadership with efficiency and professionalism. Responsibilities

  • Manage complex calendars using Microsoft Outlook Calendar and Google Workspace, scheduling meetings, appointments, and travel arrangements with precision.
  • Provide comprehensive executive administrative support, including drafting correspondence, proofreading documents, and transcribing meetings or notes.
  • Coordinate projects by tracking deadlines, preparing reports, and ensuring all tasks are completed efficiently.
  • Experience in graphic design. PDF, Canva, etc.
  • Organize events and meetings by planning logistics, preparing agendas, and ensuring all necessary materials are available.
  • Maintain professional phone etiquette on multi-line phone systems while managing incoming calls and directing inquiries appropriately.
  • Support bookkeeping activities such as invoicing and expense tracking.

Requirements

  • Proven experience in an administrative or executive assistant role with strong office management skills.
  • Demonstrated proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and PDF and Canva.
  • Excellent organizational skills with the ability to multitask effectively in a fast-paced environment.
  • Strong typing speed along with transcription and proofreading capabilities to ensure accuracy in all documents.
  • Experience with project coordination, event planning, calendar management, and office procedures such as filing and document management.
  • Knowledge with DocuSign for electronic signatures is a plus.
  • Exceptional customer service skills combined with professional phone etiquette on multi-line systems.
  • Ability to handle confidential information discreetly while demonstrating excellent organizational skills and computer literacy.
