Executive Assistant

A leading global financial services firm is seeking a highly organized and discreet Executive Assistant to support senior executives. This role plays an important part in ensuring leadership operates efficiently by managing priorities, coordinating logistics, and maintaining seamless day-to-day administrative support in a fast-paced environment.
This position is ideal for a polished Executive Assistant with several years of experience supporting senior leadership who thrives in a high-visibility role and can manage complex logistics while maintaining a composed, professional presence.
Responsibilities

Provide high-level administrative support to senior executives, managing priorities and ensuring efficient daily operations

Act as a gatekeeper by managing calendars, scheduling meetings, and prioritizing requests across internal and external stakeholders

Coordinate domestic and international travel, including detailed itineraries and logistical planning

Prepare executives for meetings by organizing agendas, briefing materials, and relevant documentation

Manage expense reporting with a high degree of accuracy and timeliness

Handle inbound communications with professionalism and discretion, prioritizing requests and responding when appropriate

Coordinate internal and external meetings involving senior leadership and key stakeholders

Assist with preparation of presentations, briefing materials, and other executive-facing materials

Track follow-ups, deadlines, and action items to ensure priorities are executed smoothly

Support special projects and ad hoc initiatives as needed

Maintain strict confidentiality while exercising sound judgment in a high-profile environment
Qualifications

4+ years of experience supporting senior executives, ideally within financial services, investment banking, or a similarly fast-paced professional environment

Bachelor’s degree required

Exceptional organizational skills with the ability to manage competing priorities and complex schedules

Strong written and verbal communication skills

Highly polished, discreet, and confident interacting with senior stakeholders

Strong attention to detail and a proactive approach to anticipating executive needs

Advanced proficiency in Microsoft Outlook, PowerPoint, Word, and Excel

Experience with expense management systems such as Workday is a plus
