Rapid Building Solutions is a trusted leader in the design and construction of self-storage facilities. We’re seeking a highly skilled Executive Assistant to provide comprehensive administrative, operational, and organizational support to our CEO and leadership team.
The ideal candidate is proactive, detail-oriented, and capable of managing a wide range of responsibilities in a fast-paced, commercially driven environment. This position requires exceptional organization, strong communication skills, confidentiality, and the ability to anticipate needs before they arise. Experience with contract review, accounting software, and legal/transactional support is strongly preferred.
What You’ll Do
- Provide high-level executive administrative support to the CEO and leadership staff.
- Draft, edit, and prepare letters, memos, reports, invoices, presentations, and other documents.
- Review, track, and organize contracts, legal documents, and confidential materials.
- Assist with paralegal-style tasks, including contract comprehension and document management.
- Manage executive calendars, schedule meetings, and coordinate travel arrangements and accommodations.
- Attend meetings on behalf of executives, take notes, and prepare accurate minutes.
- Screen and prioritize communications, summarize key information, and route items as needed.
- Utilize accounting software (QuickBooks or similar) for basic bookkeeping, expense tracking, and invoice support.
- Maintain organized digital and physical filing systems for records, contracts, and correspondence.
- Run occasional office or personal errands, including picking up lunch or supplies.
- Support daily operations by ordering office materials, monitoring inventory, and assisting with vendor coordination.
- Handle confidential information with discretion and professionalism.
- Collaborate with internal departments and external partners as needed.
- Perform additional duties as assigned by the CEO or leadership team.
What You Bring to the Team
- Minimum 5 years of Executive Assistant experience, preferably supporting a senior leader or CEO.
- Experience with contract review, paralegal support, or legal document management.
- Proficiency in accounting software (QuickBooks preferred) and Microsoft Office Suite (Excel, Word, PowerPoint).
- Excellent organizational skills with the ability to manage multiple priorities and meet tight deadlines.
- Strong time management, critical thinking, and problem-solving skills.
- Professional and clear verbal and written communication abilities.
- High level of emotional intelligence, discretion, confidentiality, and professionalism.
- Ability to work independently, anticipate needs, and be resourceful in a fast-paced environment.
- Comfortable handling both high-level executive tasks and day-to-day operational errands.
Compensation & Benefits
Here’s what we offer:
- Salary: TBD based on experience

- 40 hours of Paid Time Off (PTO) after 90 days of employment
- 40 hours of Paid Vacation after one year of employment
