Job Overview
Responsible for ensuring high-level confidential administrative support, effective coordination, planning and follow-up on all commitments of the technology executive leadership team. Prioritize meetings by organizing calendars, effective communication with all departments of Fatima Group, vendors and other sites of Fatima Group.
Key Responsibilities

Prepare, design and schedule meetings and prioritize appointments.

Draft mails, meeting notes, action items and followups for status

Schedule departmental meetings or any other calendar events.

Organize departmental documents and ensure confidentiality
-
Manage all sort of payments/ advances.

Making travel and logistics arrangements and coordination, whenever needed.

Generation of all sorts of IT department purchase requisitions
-
Follow up on Finance/Supply Chain for the completion and delivery of items

Facilitate leadership in preparing their presentation.

Coordinate with team members to abide deadlines for group level activities, surveys, appraisals and any other relevant activities.

Act as bridge for smooth upward and downward communication.
Required Qualification & Skills

Bachelor’s Degree

Good understating of technology, Administration, Stakeholder Management

Self-driven, highly organized and a loop closer
-
Extreme sense of confidentiality, ethics and time management.

Attention to detail and ability to manage work under pressure

Have business acumen for understanding organization priorities

Expert user of MS office, AI tools (eg CGPT, Gemini etc), collaboration tools (Teams, sharepoint, zooms etc)

Strong professional English writing and verbal communication skills

Professional drafting skills for emails, meeting notes and presentations
