Position Overview

We are seeking a highly organized, detail-oriented Executive Assistant / Bookkeeper to support leadership across several growing companies in the construction, equipment, and development industries. This role is ideal for someone who thrives in a fast-paced entrepreneurial environment and enjoys managing both financial records and executive operations.

The ideal candidate will be dependable, discreet, proactive, and comfortable handling bookkeeping, administrative coordination, and executive-level support.

Key ResponsibilitiesExecutive Support

  • Manage executive calendars, meetings, and scheduling
  • Coordinate travel, appointments, and business logistics
  • Prepare documents, contracts, and correspondence
  • Organize digital and physical filing systems
  • Assist with project coordination across multiple companies
  • Handle confidential information with discretion

Bookkeeping & Financial Administration

  • Maintain accurate bookkeeping records in QuickBooks
  • Process accounts payable and accounts receivable
  • Prepare invoices and track payments
  • Reconcile bank and credit card statements
  • Assist with monthly financial reporting
  • Track job cost expenses and vendor payments
  • Coordinate documentation for CPA and tax filings

Office & Operations Support

  • Maintain organized records for contracts, vendors, and clients
  • Assist with insurance certificates, permits, and compliance documentation
  • Help coordinate vendor communications and payments
  • Track equipment transactions, rentals, and sales documentation
  • Support special projects as needed

Qualifications

  • 3+ years experience in bookkeeping, accounting, or executive support
  • Proficiency in QuickBooks
  • Strong skills in Microsoft Excel, Word, and email management
  • Exceptional organization and attention to detail
  • Ability to manage multiple priorities simultaneously
  • Excellent written and verbal communication skills
  • High level of professionalism and confidentiality
