Executive Assistant - Secretary (Native Arabic)

We are looking for a polished, highly organized, and motivated Executive Assistant & Secretary to join our team. This is an entry-level position perfectly suited for a recent graduate who possesses a professional presence and a strong desire to grow within a corporate environment.

The successful candidate will serve as the primary point of contact for internal and external parties, requiring a candidate who is well-presented and a Native Arabic speaker with fluent English communication skills.

Key Responsibilities

  • Communication Management: Manage all incoming and outgoing correspondence, including professional email drafting and handling both local and international phone calls.
  • Calendar & Scheduling: Coordinate and maintain the executive’s schedule, ensuring meetings are prioritized and calendar conflicts are resolved proactively.
  • Travel Coordination: Handle comprehensive travel arrangements, including international and local flight bookings, hotel accommodations, and visa processing where applicable.
  • Administrative Support: Execute daily administrative tasks such as filing, scanning, and preparing official documents or presentations.
  • Guest Relations: Act as a professional representative of the office by welcoming guests and managing the reception of high-level partners.
  • Meeting Logistics: Organize meeting rooms, prepare agendas, and take accurate minutes during sessions.

Candidate Requirements

  • Manage executive calendars, schedules, appointments, and meetings.
  • Education: Bachelor’s degree in Business Administration, Office Management, Languages, or a related field (Recent Graduate).
  • Language Skills: * Native Arabic: Perfect command of written and spoken Arabic.
  • English: High fluency (spoken and written) for international communication.
  • Presentation: Professional appearance and a "well-presented" demeanor suitable for a corporate front-office role.
  • Technical Skills: Proficiency in Microsoft Office (Word, Excel, Outlook).
  • Soft Skills:
  • Excellent communication skills with a confident phone manner.
  • Strong administration skills with high attention to detail.
  • Ability to handle confidential information with discretion.
  • Report writing and meeting minutes.
  • Strong attention to detail and proactive problem-solving
