We are seeking a highly organized, detail-driven Executive & Personal Assistant to support the CEO during an active and dynamic season of growth.

This is a high-trust role requiring professionalism, discretion, and precision.

Position Overview

The Executive Assistant serves as the CEO’s right hand — managing communication, scheduling, follow-through, and coordination across both business operations and select personal priorities.

The CEO oversees:

  • Sales
  • HR
  • Operations
  • Marketing & Advertising
  • Construction & Real Estate Projects
  • Expansion initiatives
  • Company culture and leadership

This role ensures alignment, organization, and execution across these areas.

The calendar is critical.

Time management is strategic.

You will manage complex scheduling across business meetings, travel, and personal/family commitments — including coordination around an active family schedule with three children and frequent travel.

This role requires someone who can anticipate conflicts, protect time, and execute with precision.

Key Responsibilities

Executive Support

  • Manage a fast-moving, high-volume executive calendar
  • Coordinate travel and logistics
  • Draft, edit, and organize professional communications
  • Track follow-ups and priority tasks
  • Attend meetings, capture structured notes, and monitor action items
  • Serve as liaison between CEO and department leaders

Operational Coordination

  • Support organization of construction and expansion project details
  • Assist with vendor communication and documentation
  • Maintain organized digital and physical filing systems
  • Identify and improve workflow processes

Personal Support

  • Coordinate select personal scheduling and logistics
  • Help align business and family commitments
  • Protect the CEO’s time and focus

What We’re Looking For

Technology Requirements

  • Highly proficient with Apple devices and ecosystem (MacBook, iPhone, iPad)
  • Comfortable managing calendars, communication, and documents across Apple and Microsoft 365 platforms
  • Strong skills in Excel, Outlook, Teams, and cloud file management
  • Able to troubleshoot minor tech issues independently

Additional Requirements

  • Minimum 2 years of Executive Assistant, Personal Assistant, or high-level administrative experience
  • Experience managing complex executive calendars required
  • Exceptional organizational skills and attention to detail
  • Excellent written and verbal communication skills
  • Professional, mature, and discreet
  • Proactive and solution-oriented
  • Calm under pressure and adaptable to shifting priorities
