Executive Assistant to CEO

Are you a master of organization with a knack for staying three steps ahead? We are looking for a high-energy Executive Assistant to the CEO to act as the ultimate strategic partner and gatekeeper. This isn't just about managing a calendar; it’s about being the heartbeat of our executive operations, ensuring our leader can focus on transforming the region while you handle the mission-critical details that keep the engine running smoothly.

What You’ll Get Your Hands On

  • Executive Gatekeeping: Act as the primary point of contact between the CEO and internal/external stakeholders, managing high-level communications and coordinating critical information flow.
  • Calendar & Logistics Mastery: Orchestrate complex travel schedules, maintain high-stakes calendars, and manage reminders to ensure every minute of the CEO’s day is optimized.
  • Meeting Architecture: Provide end-to-end support for business meetings and social events, from arranging agendas and taking minutes to creating memos and reports.
  • Document Governance: Prepare, check, and manage all corporate files and documents requiring the CEO’s signature, ensuring total accuracy and confidentiality.
  • Contract Support: Assist in creating and reviewing essential legal documents, including investment agreements and Non-Disclosure Agreements (NDAs).
  • Strategic Reference: Serve as the central point of reference for queries and issues, proactively distributing information to support the broader executive team.

The Magic You Bring

  • Proven Track Record: At least 5 years of experience in a secretarial or executive assistant role, specifically supporting high-level leadership.
  • Academic Foundation: A Bachelor’s Degree or Diploma in Administration, Business, or a related field.
  • Communication Excellence: Exceptional coordination skills with the ability to handle extensive communication with clients and investors professionally.
  • Organizational Prowess: A structured approach to office management, filing systems, and the execution of complex business activities.
  • Attention to Detail: A meticulous eye for reviewing contracts and documents, ensuring nothing slips through the cracks.
  • Tech Savvy: Proficient in using modern productivity tools, office systems, and digital collaboration platforms.
  • Language Skills: Multilingual capabilities are highly preferred, with Russian being one of the preferred languages.

Bonus Points If You Have

  • Industry Savvy: Prior experience working within the fast-paced Tech or FMCG sectors.
  • Quick Integration: Availability to join the team within a maximum of 2 months.
