Find your purpose as the Executive Assistant to the Executive Vice President at CentraCare! As the Executive Assistant to the EVP you would be r esponsible for providing and overseeing administrative support to the Chief Clinical Officer (CCO), Executive Director of Advanced Practice and Senior Director of the Clinical Partner Office. The Executive Assistant provides enterprise‑level administrative coordination supporting clinical operations, quality/safety initiatives, clinician workforce activities, and systemwide priorities.
Schedule:
- Full-time 80 hours every 2 weeks
- Mon-Fri 8:00a-4:30p (frequent need for 7a meetings and occasional need for early evening meetings)
- Onsite at the St. Cloud Hospital; Hybrid options available after successful in office training
Pay and Benefits:
- Starting pay begins at $30.65 per hour; exact wage determined by years of related experience
- Pay range: $30.65 - $45.98 per hour

Qualifications:
- Minimum of 5 years’ experience in a similar senior‑level executive administrative position.
- Graduate of a post‑high‑school administrative assistant program and/or BA degree preferred.
- Experience with meeting agenda planning and minute‑taking.
- High level typing proficiency.
- Real‑time documentation proficiency using digital tools.
- Must have excellent organizational skills and proven communication skills.
- Ability to handle sensitive and confidential clinical, operational, and personnel information with discretion.
- Experience in a health system or large integrated care environment strongly preferred.
Experience supporting senior clinical executives or system‑level leaders.
Core Functions :
- Liaison & Communication
- Serves as the liaison for the Chief Clinical Officer (CCO) and enterprise clinical leadership teams, providing two-way communication for people at all levels and departments.
- Responsible for managing CCO's relationships with internal and external constituents, including community partners, regulatory bodies, and professional organizations. Supports preparation of materials for external engagements.
- Correspondence & Materials Preparation
- Initiates and prepares correspondence, reports and presentations on behalf of the Chief Clinical Officer (CCO).
- Prepares summaries, briefings, and supporting documents for enterprise initiatives related to quality, safety, access, clinician workforce, and care delivery.
- Handles and screens incoming calls, e-mails, correspondence, and visitors; escalates STAT matters appropriately.
- Committee, Governance & Follow‑Up Support
- Takes minutes, prepares agendas, and coordinates logistical support for assigned committees.
- Provides support for clinical meetings, including quality/safety councils, clinical partner office meetings and meetings requested by the Executive Director of Advanced Practice.
- Manages action‑item tracking and structured follow‑up (“rounding‑to‑resolution”), ensuring closure of items and documentation of outcomes.
- Calendar & Priority Management
- Responsible for coordinating and managing the Chief Clinical Officer's (CCO) calendar, including assembling appropriate materials for meetings. Supports calendar management for Executive Director of Advanced Practice and the Senior Director of the Clinical Partner Office.
- Prioritizes complex, multistakeholder scheduling aligned to enterprise operational and strategic priorities.
- File & Information Management
- Maintains files for Chief Clinical Officer (CCO) and associated enterprise clinical teams.
- Ensures secure handling of sensitive operational, clinical and governance information.
- Project & Analytical Support
- Responsible for managing projects assigned by CCO, Advanced Practice Executive Director and Senior Director of Clinical Partner Office.
- Participates in the coordination of Daily Safety Check in for the St. Cloud Hospital and CentraCare System if needed.
- Enterprise & Academic Coordination
- Supports meetings, communications, and documentation related to academic affairs, education, and research integration, in alignment with the CCO’s portfolio.
- Technology & Digital Health Support
- Demonstrated proficiency with Microsoft Office applications.
- Preferred experience supporting digital health workflows, data dashboards, or clinical informatics tools.
- General Support
- Coordinates travel arrangements for the CCO, Executive Director of Advanced Practice, Senior Director of Clinical Partner office including the submission of expense reports.
- Responsible for providing administrative support to any executives in the Administration area, as needed.
- Responsible for UKG auditing for relevant team members.
- Responsible to participate in shared work responsibilities within the Administration area.
