Executive Assistant to the CEO

WHO THIS ROLE IS FOR

This role is for an experienced, proactive Executive Assistant who sees themselves as a true business partner to the CEO, not just a scheduler or task taker.

WHAT YOU’LL DO (KEY RESPONSIBILITIES)

Executive Support & Priority Management

  • Manage the CEO’s calendar with strong judgment, planning, and prioritization.
  • Screen, organize, and manage the CEO’s inbox; draft and send responses as appropriate.
  • Coordinate meetings, calls, and travel logistics, including follow-up and reminders.
  • Prepare agendas, notes, and materials to support decisions and key initiatives.
  • Track commitments, deadlines, and action items to ensure follow-through.
  • Serve as the primary point of contact for scheduling and executive coordination.

Communication & Representation

  • Draft professional emails, correspondence, and internal communications.
  • Act as a liaison between the CEO and internal/external stakeholders.
  • Represent the company and the CEO with professionalism, clarity, and discretion.
  • Route incoming calls, messages, and requests appropriately.

Office Administration & Internal Coordination

  • Maintain organized digital and physical filing systems, records, and documentation.
  • Manage office supplies, vendor communication, paperwork flow, and administrative needs.
  • Support internal office coordination related to employees, forms, and processes.
  • Assist with onboarding logistics, internal documentation, and operational organization as needed.

Corporate Insurance & Risk Administration (Added)

  • Serve as the primary administrative contact for corporate insurance policies.
  • Coordinate with insurance brokers and carriers on renewals, certificates, audits, and policy updates.
  • Track coverage across companies, properties, vehicles, and projects.
  • Maintain organized insurance documentation and ensure timely responses to requests.
  • Assist leadership with insurance-related information, claims coordination, and compliance support.

Business Entities, Real Estate & Special Projects

  • Provide administrative support across affiliated business entities.
  • Assist with real estate and property-related administration, leases, and tenant matters.
  • Support special projects and cross-company initiatives as assigned.
  • Handle confidential and sensitive matters with discretion and sound judgment.

HOW YOU’LL SUCCEED

  • Managing the CEO’s calendar and priorities with minimal oversight.
  • Anticipating needs and preventing issues before they arise.
  • Becoming the trusted hub for scheduling, logistics, and executive communication.

  • Bringing clarity, structure, and calm to a demanding workload.

WHAT YOU BRING (QUALIFICATIONS)

2+ years of experience as an Executive Assistant, Office Administrator, or senior administrative professional.

  • Prior experience supporting a CEO, owner, or senior executive strongly preferred.
  • Excellent written and verbal communication skills.
  • Strong organizational skills, attention to detail, and follow-through.
  • Ability to manage multiple shifting priorities in a fast-paced environment.
  • High level of discretion, professionalism, and emotional intelligence.
  • Proficiency in Microsoft Office, Google Workspace, and standard office technology.

Preferred

  • Experience in construction, industrial services, or a related field.
  • Experience with real estate or property administration.
  • Exposure to insurance administration, compliance, or vendor coordination.
  • Spanish language ability is a plus.

WHAT WE OFFER

  • Compensation: $23.00–$30.00 per hour, depending on experience.
  • Schedule: Full-time, in-person position.
