Executive Assistant to the CEO

Overview
We are seeking a dynamic and highly organized Executive Assistant to support our CEO in a fast-paced, innovative environment. Responsibilities

  • Manage the CEO’s calendar with precision, scheduling meetings, appointments, and travel arrangements using Microsoft Outlook Calendar and Google Workspace.
  • Provide comprehensive administrative support including drafting correspondence, proofreading documents, and transcribing notes to ensure clarity and professionalism.
  • Coordinate and organize company events, meetings, and conferences from planning stages through execution, utilizing event planning skills.
  • Handle incoming calls with excellent phone etiquette, directing inquiries appropriately via multi-line phone systems and maintaining professionalism at all times.
  • Oversee office management duties such as filing, data entry, bookkeeping using QuickBooks, and maintaining office supplies to ensure a productive work environment.
  • Assist with project coordination by tracking deadlines, preparing reports, and supporting cross-departmental initiatives.
  • Perform clerical tasks including filing, data entry, proofreading documents, and managing front desk responsibilities to uphold a welcoming office atmosphere.
  • Support personal assistance needs for the CEO as required, including personal scheduling and errands coordination.
  • Utilize office software such as Microsoft Office Suite (Word, Excel), Google Workspace tools, and DocuSign for document signing and management.

Skills

  • Proven experience in executive administrative support or personal assistant roles with strong organizational skills.
  • Exceptional calendar management abilities with proficiency in Microsoft Outlook Calendar and Google Workspace.
  • Skilled in event planning, project coordination, and office management to streamline operations effectively.
  • Excellent typing speed combined with transcription capabilities for efficient note-taking and documentation.
  • Strong bookkeeping skills with familiarity in QuickBooks for financial record keeping.
  • Proficient in Microsoft Office applications (Word, Excel), Google Workspace tools, and data entry tasks.
  • Outstanding phone etiquette with experience managing multi-line phone systems in a professional setting.
  • Attention to detail demonstrated through proofreading documents and managing filing systems accurately.
  • Ability to multitask efficiently while maintaining a positive attitude under pressure; customer service experience is a plus. Pay: $40,404.32 - $60,701.97 per year
