Executive Assistant to the CEO

Job Overview
We are seeking a highly organized, proactive, and energetic Executive Assistant to support our CEO in a dynamic and fast-paced environment. This vital role involves managing complex calendars, coordinating projects, handling correspondence, and providing comprehensive administrative support to ensure the CEO’s day-to-day operations run smoothly. Responsibilities

  • Manage and maintain the CEO’s calendar, scheduling meetings, appointments, and travel arrangements with precision using tools like Microsoft Outlook Calendar and Google Workspace.
  • Serve as the first point of contact for phone calls and emails, demonstrating excellent phone etiquette and customer service skills while prioritizing urgent matters.
  • Coordinate and support special projects, including event planning, meeting preparations, and logistical arrangements to ensure seamless execution.
  • Handle office management duties such as filing, data entry, document proofreading, transcription, and maintaining organized records using Microsoft Office and other office software.
  • Assist with bookkeeping tasks utilizing QuickBooks or similar accounting software to support financial record-keeping and expense tracking.
  • Provide personal assistant support as needed, including managing personal appointments or errands for the CEO.
  • Oversee front desk responsibilities when required, ensuring a professional and welcoming environment for visitors.

Requirements

  • Proven experience in executive administrative support or as a personal assistant with strong organizational skills.
  • Demonstrated proficiency in office management tasks such as filing, data entry, clerical work, and customer service.
  • Excellent computer literacy with expertise in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Docs), and familiarity with multi-line phone systems.
  • Strong typing skills along with transcription and proofreading abilities to produce accurate documents efficiently.
  • Experience with calendar management tools like Microsoft Outlook Calendar and Google Calendar is essential.
  • Knowledge of bookkeeping software such as QuickBooks plus basic accounting principles is preferred.
  • Exceptional communication skills with professional phone etiquette and the ability to handle sensitive information discreetly.

Pay: $20.00 - $25.00 per hour
