Overview
The Executive Assistant is responsible for providing assistance to the Head of School by maintaining the Head of School’s calendar, setting up donor visits, assisting with internal operations of fundraising efforts, drafting and editing communication, and other administrative duties.
Duties & Responsibilities
- Maintain the Head of School’s calendar, including scheduling meetings, registering for events, and arranging travel (when applicable).
- Assist with planning and logistics for donor meetings, including initial calls and other correspondence to set up meetings when appropriate.
- Assist the Head of School by managing the follow-up process after all donor appointments, including record-keeping, data management in all systems, and follow-up correspondence.
- Work with appropriate staff members to determine data entry policies and to maintain the accuracy and relevance of data.
- Prepare and send thank-you letters to donors.
- Be aware of and push forward gift receipts as needed, ensuring that donors receive receipts and are thanked in an appropriate and timely manner.
- Draft and edit letters and correspondence for the Head of School—as well as full school communications—with an understanding of the Head of School’s voice and vision.
- Oversee fundraising materials and collateral, such as the case for support, brochures, and newsletters, as well as fundraising-related content on LOGAN Hope’s website and social media.
- Oversee the execution of a yearly development communications plan.
- Coordinate logistics for any events and ongoing activities for which the Head of School is responsible.
- Coordinate volunteer support for applicable events.
- Prepare materials and presentations for meetings, take meeting minutes, and coordinate follow-up tasks for attendees.
- Be prepared to welcome visitors to the school, including donors and prospective families.
- Coordinate the completion of the annual reports on fundraising and development. Develop special reports and studies as requested by the Head of School.
- Prepare board reports and agendas for the Head of School prior to board meetings, as well as support ongoing communication between the Head of School and board.
- Carry out any other tasks as requested by the Head of School.

Education & Experience
- Bachelor’s degree or equivalent
- Three years of work experience in administrative duties and/or fundraising
- Must be known and respected in his or her church and in good standing with his or her community
Specifications
The Executive Assistant position is a full-time position that is eligible for a full benefits package per LOGAN Hope policy, including matching retirement contributions, health insurance, and paid time off.
