Executive Business Coordinator / Secretary

Position Overview

  • We are seeking a highly capable, discreet, and business-savvy Executive Business Coordinator to support our Vice Chairman, in managing his office and overseeing operations of our premium luxury brands portfolios.This role goes beyond traditional secretarial duties – the selected candidate will function as a right hand to the Vice Chairman, ensuring that his office operates seamlessly while proactively supporting brand relationships, business decisions, and high-level communications.

Key Responsibilities

  • Office & Business Coordination
  • Manage the Vice Chairman’s daily schedule, meetings, and priorities with utmost efficiency.
  • Act as the primary liaison with brand principals, business partners, and internal teams.
  • Track, follow up, and report on key business actions and commitments.
  • Luxury Brand & Business Support
  • Prepare correspondence, presentations, and business updates for luxury watch/jewelry brands.
  • Coordinate private client events, product launches, and VIP experiences.
  • Maintain a high level of product and brand awareness to support informed decision-making.
  • Confidential & Strategic Support
  • Handle sensitive information with discretion and professionalism.
  • Draft and review confidential communications, agreements, and reports.
  • Support strategic projects and ensure timely execution of critical tasks.

Candidate Profile

  • Experience: Minimum 5–8 years as an Executive Assistant/Office Manager supporting C-Suite executives, preferably in luxury retail, or high-net-worth client environments.
  • Skills & Competencies:
  • Exceptional organizational and multitasking skills.
  • Strong written and verbal communication ,English essential.
  • Business acumen with the ability to anticipate needs and make sound judgments.
  • High-level proficiency in MS Office Suite and business communication tools.
  • Personality & Attributes:
  • Impeccable discretion, diplomacy, and professionalism.
  • Confident, proactive, and able to operate independently.
  • Culturally aware and polished, comfortable engaging with global luxury brands and VIP clients.
