Administrative secretary / Manager

Role Overview:

We are seeking a versatile Administrative Assistant with a strong background in sales support and supplier management, as well as proficiency in general administrative tasks. The ideal candidate will play a crucial role in facilitating efficient operations within our organization, supporting both sales activities and general administrative functions.

Responsibilities:

Sales Support and Supplier Coordination:

Assist in managing relationships with suppliers and vendors.

Communicate effectively with suppliers to ensure timely deliveries and resolve issues.

Maintain records of supplier contracts, agreements, and contact information.

Support the sales team with order processing, invoicing, and customer inquiries.

Administrative Support:

Manage calendars, schedule meetings, and coordinate travel arrangements.

Prepare and distribute correspondence, reports, and presentations.

Assist in organizing company events, conferences, and meetings.

Handle inquiries and requests from internal and external stakeholders.

Documentation and Record-Keeping:

Maintain organized filing systems for both physical and electronic documents.

Update and distribute internal documents, policies, and procedures.

Ensure confidentiality and proper handling of sensitive information.

Communication and Coordination:

Serve as a point of contact between departments, suppliers, and clients.

Communicate effectively via phone, email, and in-person meetings.

Facilitate internal communication to ensure smooth operations.

Office Management:

Monitor and order office supplies as needed.

Coordinate office maintenance and repairs.

Support the implementation of office policies and procedures.

Requirements:

Proven experience as an administrative assistant or in a similar role.

Strong understanding of sales processes and supplier management.

Excellent organizational and multitasking abilities.

Proficiency in MS Office (Word, Excel, Outlook, PowerPoint).

Exceptional communication skills, both written and verbal.

Ability to prioritize tasks and work independently
