Executive Secretary

We are seeking a highly organized, resourceful, and discreet Executive Secretary to provide comprehensive executive support to the CEO. The role requires excellent coordination, communication, and time management skills to ensure smooth day-to-day operations, efficient scheduling, and professional representation of the CEO's office.

In this role, you will:

Executive Support & Calendar Management:

  • Manage the CEO's complex calendar, meetings, and travel itineraries (Egypt, UAE, and international)
  • Prioritize and resolve scheduling conflicts proactively
  • Prepare agendas, minutes, and follow-up action items for meetings


Travel & Logistics:

  • Coordinate all travel arrangements including flights, visas, accommodation, and local transportation
  • Ensure seamless travel support between Egypt and UAE, including last-minute changes


Office & Communication Management:

  • Act as the first point of contact for the CEO—screening calls, emails, and correspondence
  • Draft, review, and proofread official communications, reports, and presentations
  • Maintain a high level of confidentiality and discretion at all times


Administrative Excellence:

  • Organize and maintain files, records, and documents (both electronic and physical)
  • Handle expense claims, approvals, and reimbursements for the CEO
  • Coordinate with internal teams and external stakeholders on behalf of the CEO


Special Projects:

  • Support the CEO with research, data collection, and preparation of briefing materials
  • Manage ad-hoc assignments requiring judgment, initiative, and follow-through


Requirements

Qualifications & Skills:

  • Bachelor's degree in Business Administration, Management, or related field
  • 5+ years of experience in an executive assistant or executive secretary role, preferably supporting C-level executives
  • Excellent written and verbal communication skills in English and Arabic
  • Strong organizational skills with attention to detail and the ability to multitask under pressure
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook); knowledge of digital collaboration tools is an advantage
  • High level of integrity, discretion, and professionalism
  • Flexibility to occasionally travel and adapt to changing priorities
