Executive Secretary

Job Summary

The Secretary to the Chairman provides high‑level administrative and organizational support to ensure the smooth functioning of the Chairman’s office. This role requires exceptional attention to detail, strong communication skills, and the ability to manage complex schedules, travel logistics, and confidential information. The Secretary acts as a key liaison between the Chairman and internal/external stakeholders, ensuring timely coordination and professional representation.

Key Responsibilities1. Calendar & Schedule Management

  • Maintain and manage the Chairman’s daily, weekly, and long‑term calendar.
  • Schedule and coordinate meetings, appointments, and events.
  • Prioritize and adjust schedules proactively based on urgency and importance.
  • Ensure the Chairman is fully briefed and prepared for all engagements.

2. Travel Arrangements

  • Plan and coordinate domestic and international travel itineraries.
  • Arrange flights, hotel bookings, ground transportation, visas, and travel documents.
  • Prepare detailed travel packs including agendas, contacts, and briefing notes.
  • Handle last‑minute changes and ensure seamless travel experiences.

3. Communication & Correspondence

  • Serve as the primary point of contact for the Chairman’s office.
  • Screen calls, emails, and requests; respond or redirect as appropriate.
  • Draft, edit, and proofread letters, reports, presentations, and confidential documents.
  • Maintain professional communication with board members, executives, and external partners.

4. Meeting & Office Coordination

  • Prepare meeting agendas, minutes, and follow‑up action items.
  • Organize board meetings, executive sessions, and high‑level events.
  • Maintain organized filing systems (digital and physical).
  • Track deadlines, commitments, and deliverables.

5. Confidentiality & Executive Support

  • Handle sensitive information with absolute discretion.
  • Support the Chairman with special projects and strategic initiatives.
  • Conduct research and prepare briefing materials when required.
  • Ensure smooth day‑to‑day operations of the Chairman’s office.

QualificationsEducation

  • Bachelor’s degree in Business Administration, Management, Communications, or related field.
  • Additional certifications in office administration or executive assistance are an advantage.

Experience

  • 5+ years of experience supporting C‑suite executives or senior leadership.
  • Proven experience managing complex calendars and international travel.
  • Experience in corporate, multinational, or high‑pressure environments preferred.
