Secretary Job Description

Position Overview

Secretary serves as the first point of contact for clients, visitors, and team members, ensuring smooth day-to-day administrative operations. This role involves managing front-desk duties, handling correspondence, maintaining records, and supporting management with clerical and organizational tasks.

Key Responsibilities

  • Greet and assist clients, visitors, and staff in a professional and friendly manner.
  • Answer, screen, and direct phone calls and emails promptly.
  • Manage appointment scheduling, meeting coordination, and calendars.
  • Prepare, organize, and maintain office files, records, and correspondence.
  • Draft letters, memos, and reports as directed by management.
  • Maintain a clean, organized, and welcoming reception area.
  • Handle incoming and outgoing mail and courier services.
  • Support HR and administrative departments with document processing and data entry.
  • Order and manage office supplies and inventory.
  • Assist in preparing meeting materials, minutes, and follow-ups.
  • Uphold confidentiality and professionalism in all matters.

Skills and Qualifications

  • High school diploma or equivalent (Associate’s or Bachelor’s degree preferred).
  • Proven experience as a receptionist, secretary, or administrative assistant.
  • Excellent verbal and written communication skills.
  • Strong organizational and multitasking abilities.
  • Proficiency in Microsoft Office (Word, Excel, Outlook) and office management software.
  • Professional appearance and positive attitude.
  • Attention to detail and ability to handle sensitive information discreetly.
  • Time management and problem-solving skills.

Work Environment

  • Office-based role (full-time or part-time as required).
  • Interaction with clients, management, and cross-functional teams.
  • May occasionally assist with events or special projects.

Job Type: Full-time

Pay: AED3,000.00 - AED6,000.00 per month
