Export Documentations Executive

Key Responsibilities

  • Documentation & Compliance
  • Prepare, review, and submit all export shipping documents including invoices, packing lists, bills of lading, certificates of origin, and other regulatory documents.
  • Ensure accuracy and compliance of documents with letter of credit (LC), buyer requirements, customs regulations, and international trade laws.
  • Verify HS codes, INCOTERMS, and export declarations.
  • Coordination
  • Liaise with freight forwarders, clearing agents, and shipping lines for timely bookings, confirmations, and dispatches.
  • Work closely with internal departments (sales, finance, production, and warehouse) to ensure timely availability of shipment documents.
  • Coordinate with banks for document submission under LC, DP, or DA terms.
  • Monitoring & Reporting
  • Track shipments and ensure timely submission of post-shipment documentation to customers and banks.
  • Maintain accurate filing of shipping documents for audits and record-keeping.
  • Prepare MIS reports on exports, pending documentation, and bank realizations.
  • Problem Solving
  • Resolve discrepancies in export documents raised by banks, customers, or regulatory authorities.
  • Handle amendments and corrections in shipping documents to avoid demurrage, delays, or payment issues.

Qualifications

  • Bachelor’s degree in Business Administration, International Trade, Supply Chain, or related field.
  • At least 2–5 years of relevant experience in export documentation, preferably in manufacturing/trading companies.
  • Strong knowledge of UCP 600, INCOTERMS, and international trade regulations.
  • Proficiency in MS Office and ERP systems (experience with Odoo or SAP will be an advantage).
  • Excellent written and verbal communication skills.
