Key Responsibilities
- Documentation & Compliance
- Prepare, review, and submit all export shipping documents including invoices, packing lists, bills of lading, certificates of origin, and other regulatory documents.
- Ensure accuracy and compliance of documents with letter of credit (LC), buyer requirements, customs regulations, and international trade laws.
- Verify HS codes, INCOTERMS, and export declarations.
- Coordination
- Liaise with freight forwarders, clearing agents, and shipping lines for timely bookings, confirmations, and dispatches.
- Work closely with internal departments (sales, finance, production, and warehouse) to ensure timely availability of shipment documents.
- Coordinate with banks for document submission under LC, DP, or DA terms.
- Monitoring & Reporting
- Track shipments and ensure timely submission of post-shipment documentation to customers and banks.
- Maintain accurate filing of shipping documents for audits and record-keeping.
- Prepare MIS reports on exports, pending documentation, and bank realizations.
- Problem Solving
- Resolve discrepancies in export documents raised by banks, customers, or regulatory authorities.
- Handle amendments and corrections in shipping documents to avoid demurrage, delays, or payment issues.
Qualifications
- Bachelor’s degree in Business Administration, International Trade, Supply Chain, or related field.
- At least 2–5 years of relevant experience in export documentation, preferably in manufacturing/trading companies.
- Strong knowledge of UCP 600, INCOTERMS, and international trade regulations.
- Proficiency in MS Office and ERP systems (experience with Odoo or SAP will be an advantage).
- Excellent written and verbal communication skills.
