Job Summary.
The Facility Assistant supports the day-to-day operations of the P&M Facility. This role helps ensure a safe, clean, and well-maintained work environment by coordinating housekeeping, maintenance, material handling, and basic administrative activities in line with NOV HSE standards.
Key Responsibilities
1. Facility Operations & Housekeeping
- Support daily housekeeping and facility maintenance activities.
- Coordinate and supervise third-party cleaners, janitors, and maintenance vendors.
- Ensure cleanliness of offices, meeting rooms, washrooms, pantries, stores, common areas, parking, and outdoor areas.
- Assist with routine and emergency maintenance to avoid operational disruptions.
- Plan major maintenance work during off-hours or weekends when needed.
- Coordinate inspections, certifications, and maintenance of safety systems (fire alarms, extinguishers, elevators, smoke detectors, etc.) with the Safety team.
- Support facility modifications and renovations, including contractor follow-up and required approvals.
- Maintain building drawings, approvals, and records in compliance with company and local regulations.
2. Material & Inventory Management
- Receive building and pantry materials in the ERP system according to NOV policies.
- Verify physical delivery, quantity, and quality of materials.
- Ensure proper storage and documentation of received items.
- Maintain minimum and maximum stock levels for consumables, pantry items, and housekeeping supplies.
- Assist with equipment and furniture inventory updates.
3. Vendor, Finance & System Coordination
- Obtain maintenance quotations, arrange approvals, issue purchase orders, and ensure proper job completion.
- Confirm receipt of services and materials against POs and close transactions in the system.
- Coordinate with Finance for expense tracking, approvals, payments, and shared cost reporting.
- Work with IT for facility-related IT installations or troubleshooting.
4. Gate Pass, Reception & Administrative Support
- Prepare gate passes for materials, visitors, contractors, and service providers.
- Provide reception support when the receptionist is unavailable.
- Issue and track PPE for visitors and contractors.
- Support facility needs for events, meetings, and training.
- Coordinate with other NOV facilities when additional support or space is required.
5. Safety & Compliance
- Ensure compliance with NOV HSE policies and local regulatory requirements.
- Provide safety orientation to cleaners and maintenance workers when required.
Support audits, inspections, and documentation related to safety and compliance.
Qualifications & Experience
Required
- High school graduate
- 3–5 years of relevant work experience
- Basic knowledge of MS Office
- Good communication skills in English (spoken and written)
- Strong time management and task-prioritization skills
- Ability to multitask and coordinate with multiple teams and vendors
- Effective scheduling and problem-solving skills
- Ability to handle conflicts professionally
Preferred
- Diploma in Facility Management
- Experience in the Oil & Gas industry
- Experience working with ERP system
- Driver's license preferred
