Facility Management Coordinator
Duties & Responsibilities:
- Coordinate and schedule the daily task lists for 5–6 mobile maintenance teams, optimizing routes and skill sets for maximum efficiency.
- Conduct regular check-ins with field teams to monitor work progress and verify completion against quality standards.
- Act as the first point of contact for emergency call-outs, rerouting teams rapidly to address urgent issues and solve on-site problems.
- Create, track, and close work orders within the CMMS (Computerized Maintenance Management System).
- Ensure all technical reports, photos, and site sign-offs are captured and filed correctly upon job completion.
- Identify and arrange the necessary materials, tools, and consumables required for scheduled works to prevent mid-job delays.
- Liaise with suppliers to ensure timely delivery of specialized parts for complex repairs.
- Serve as the primary liaison for clients, providing status updates and addressing concerns with a professional, solution-oriented approach.
- Draft accurate quotations for additional works or repairs identified by the maintenance teams.
- Assist in preparing periodic performance reports for client review.
Qualifications:
- Experience 3+ years in Facility Management, MEP coordination.
- Technical Savvy Proficiency in CMMS software and Microsoft Office (Excel is a must).
- Problem Solving Ability to "think on your feet" during emergencies and re-prioritize tasks instantly.
- Communication Exceptional written and verbal skills for client-facing correspondence.
- Organization High capacity for multitasking; able to track 20+ active tasks simultaneously.
