Facility Management Administrator & Contracts Executive

Core Responsibilities

I. Workspace & Service Excellence

  • The Final Check: Ownership of the daily service report lifecycle. To verify that every job—from reactive maintenance to scheduled visits—is closed out with the correct labor hours and material costs.
  • Data Integrity: Ensure timely submission and synchronization of reports on Company Workspace, making sure our digital "paper trail" is audit-ready at all times.
  • Cost Validation: Check the expenses associated with each work order to prevent leakage and ensure job profitability.

II. Contractual Stewardship

  • Client AMCs: Be the guardian of our Annual Maintenance Contracts. You will track service schedules and expiration dates, ensuring THC never misses a any PPM activity delivering promised value to our clients based on contractual terms and conditions.
  • Subcontractor Management: Maintain a high-standard repository of subcontractor files. This includes managing the "Full Lifecycle" of the relationship:
  • Onboarding: Vetting and document collection.
  • Maintenance: Tracking and renewals.
  • Offboarding: Handling terminations or non-renewal notices professionally.

III. Tendering & Strategic Sourcing

  • Vendor Hunting: Partner with the Operations team to scout and vet high-tier specialized vendors (HVAC, Fire & Safety, MEP, Pest Control, Landscape) to expand our service capabilities.
  • Tender Support: Act as a key contributor during the bidding process, gathering subcontractor quotes and preparing the administrative documentation required for winning tender submissions.
