Facility Management Coordinator

The Facility Management Coordinator shall primarily be an Executive Coordinator who shall assist Head of

Facility Management (HFM) in handling tactical matters particularly of inter-office communication,

coordination among facility and maintenance teams and official data management. He /She shall serve as

the primary point of contact on such matters pertaining to the HFM. The ideal individual will have the ability

to exercise good judgment in a variety of situations, with strong written and verbal communication,

administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities categorized in the context of Urgent and Important.

Responsibilities

· Responsible for the day-to-day management of the HFM’s calendar and activities to ensure high-value time

utilization of the HFM in relation to external and internal requirements.

· Brief/update HFM on upcoming meetings and ongoing obligations.

· Responsible for the timely preparation and presentation of materials for key external and internal meetings involving HFM.

· Drafts minute of meeting documents and distribution to the concerned without hassle.

· Reviews HFM email /WhatsApp communications and assist in providing timely responses to inquiries sent to HFM.

· Works with management and staff teams to prepare HFM for external meetings, presentations, and events, and ensures the timely follow-up of all action items.

· Organizes and coordinates daily/weekly meeting arrangements by aligning all the participants on agenda and time.

· Prepares performance monitoring mechanism and reports for the operations and maintenance teams.

· Organizing the data in respective files/folders safe and secure and be readily available while needed.

· Provides regular daily Facility Operating status reports to HFM after collecting from the team regularly, assisting HFM during operational reviews through follow-up on assigned performance tasks and deadlines.

· Supports HFM in dealing with confidential or sensitive personnel or other organizational matters. Ensuring

confidentiality of official information and data at all times.

· Collaborates with HFM to foster a success-oriented, positive, high-integrity organizational culture within the

Group.

Qualification and Experience

· The ideal candidate must possess a BBA or equivalent degree, from HEC recognized University/Institute, however, preference will be given to the relevant experience, skills, and abilities

· Minimum 3-5 years of working experience for graduate degree holders and 25-40 years of age bracket.

malls, residential complexes, large community centers and five star hotels.

· Strong verbal and written communication skills; ability to effectively present and execute innovative ideas.

· Ability to write reports and business correspondence. Outstanding grammar and proofreading skills.

· Strong sense of accountability, integrity, and ability to handle highly visible responsibilities.

· Excellent analytical skills; ability to quickly aggregate and analyze information.

· Ability to take initiative, act independently and direct one’s own work.

· Must be exceptionally punctual and regular.

· Must be proficient in MS- Excel and Word and should be able to generate pivot based analytical datasheets,

charts to assist HFM in making quality decisions based on data.

· Must be able to produce excellent business correspondence e.g. Incident reports, meeting summaries,

executive communication, Instruction memos, advisories, interoffice memos, business correspondence with

the govern-ent departments, tenants, residents and other business stakeholders.
