Facility Specialist

We are looking for a Facility Specialist to work in our company, which operates in the pharmaceutical manufacturing sector and where we provide consultancy services.

Experience

• Advanced knowledge of English language
• Strong organizational and multitasking abilities
• Ability to work independently and handle a variety of responsibilities
• Proficiency in using office software
• Experience in facilities management, office administration, or a related field is a plus
• Knowledge of health, safety, and environmental regulations is a plus

Responsibility

• Coordinate and manage daily facilities operations, performing daily facility walkthroughs to maintain a safe, clean, functional and enjoyable office environment
• Act as the main point of contact for employees and third-party vendors regarding facilities
• Collaborate with vendors and service providers to ensure quality and timely delivery of services
• Support with emergency, fire, health and safety codes, and other relevant regulations to ensure compliance
• Support with coordination of emergency trainings
• Coordinating and overseeing general maintenance, repairs, remodeling or construction projects, ensuring requests are handled with high quality approach and in a timely manner
• Assist in space office layout coordination for internal events
• Management of inventory, order and restock of the workspace supplies (food and beverages, office supplies, etc.)
• Handle administrative tasks, such as processing POs, providing reports
• Maintain accurate records of facility-related documentation and invoices
• Follow-up of bank, notary etc. transactions in case we need outside the office.
