Overview: The Finance Manager, reporting to the Senior Pastor, provides part-time financial administration and bookkeeping support for Creekwood UMC. This role ensures accurate contribution recording, timely payment processing, regular financial reporting, and the smooth functioning of all giving and financial platforms.

As a newly created part-time position, to start, certain financial duties will be completed by the Senior Pastor, Office Manager, and volunteers to maximize the time of the Finance Manager. In general, the Finance Manager will not manage physical income (primary member contributions) – the posting, tracking, depositing, etc. – but will be responsible for monthly accounting thereof, including bank reconciliations, which will require coordination with the Senior Pastor, Office Manager and volunteers as needed. The Finance Manager will manage all expenses and accounts payable. While the Finance Manager will be responsible for payroll and payroll related entries and reconciliation, the physical payroll will be completed by the Office Manager, Senior Pastor, or their designee. We will evaluate the workload as we go.

Primary Responsibilities

Income Management

  • Reconcile all contributions and pledges in Shelby and work with Officer Manager and volunteers as needed.
  • Officer Manger and/or volunteers will process and document weekly giving/income, including cash, checks, online giving, ACH, electronic contributions (Venmo, Square) and stock transfers.
  • Office Manager and/or volunteers will manage deposits via check scanning, bank courier, or trips to the bank.
  • Assist Officer Manager and others to resolve contribution errors or donor questions.

Accounts Payable & Payroll

  • Process vendor invoices, reimbursement requests, and check requests.
  • Prepare and issue checks or electronic payments.
  • Manage and process employee and volunteer expense reimbursement
  • Track and reconcile Kleercard transactions.
  • Maintain payroll reports and complete journal entries in Shelby Financials.
  • The Officer Manager or Senior Paster or their designee will prepare and process payroll.
  • Support staff and volunteers with expense questions or missing documentation.

Financial Reporting & Reconciliation

  • Reconcile bank statements and general ledger accounts monthly.
  • Perform monthly, quarterly, and annual closing of the books.
  • Submit regular financial reports to the Senior Pastor, Leadership Board, and staff.
  • Oversee Shelby Finance, Shelby Giving, ADP, and related databases.
  • Support the Finance and Leadership Teams in planning annual budgets and aligning financial practices with church mission and vision.
  • Work with Senior Pastor on regular and year-end giving statements, as well as conference required finance reports.
  • Maintain the cart of accounts.
  • Maintain a system of internal controls to ensure accuracy, transparency, and compliance with church financial policies.
  • Ensure practices comply with UMC, local, state, and federal requirements.
  • Help facilitate 3rd party finance reviews as directed by the Board.

General Administration

  • Assist the Senior Pastor and staff as appropriate with compliance and administration of contracts, human resources, and insurance.
  • Other duties as assigned by the Senior Pastor.

Qualifications

  • Bachelor’s degree in accounting or equivalent.
  • At least 5 years’ experience in a similar position.
  • Proficiency in accounting systems in general (Shelby a plus), Excel and Word.

Location/Compensation

  • Must reside in the greater DFW area.
  • The position is hybrid with at least one day each week expected to be on location at Creekwood.
  • 15-20 hours per week.
  • Compensation commensurate with experience/qualification/job duties.
