Fitout-Projects Manager

The Fit-out Projects Manager own end-to-end delivery of WOODEX fit-out turnkey projects from commercial handover through to client sign-off, while actively contributing to business development, pre-contract preparation, team building, and the continuous improvement of project management standards across the fit-out function.

Key Responsibilities:

1. Project Execution

– Own all assigned fit-out projects from kick-off to formal handover

– Develop and maintain a detailed project schedule per phase: survey, design freeze, production release, site mobilization, installation, snagging, and handover

– Manage site teams, subcontractors, and installation crews across concurrent projects

– Conduct regular site visits and enforce daily and weekly progress tracking

– Coordinate material release triggers with Procurement and Inventory based on confirmed site readiness

– Liaise with Production to align factory output with site delivery windows

– Flag scheduling conflicts or delays proactively — minimum 72 hours before they become critical

2. Pre-Contract and Commercial Support

– Assist in preparing project pricing and cost estimates, ensuring scope is accurately captured and margins are protected

– Qualify subcontractors and vendors prior to engagement — evaluate capability, track record, capacity, and commercial terms

– Review client contracts and contractual documents; provide written remarks and recommend modifications to safeguard company interests before execution

– Review shop drawings, technical submittals, material submittals, and all project documentation before submission to clients or consultants — ensure accuracy, completeness, and alignment with approved scope

3. Business Development Support

– Represent WOODEX in meetings with potential clients; present the company profile, fit-out capabilities, and product and service offering

– Support the commercial team in converting qualified leads by providing technical credibility and project delivery confidence during client engagements

– Contribute to proposal preparation by providing realistic delivery schedules, methodology inputs, and resource assessments

4. Client and Stakeholder Management

– Act as the primary operational contact for the client throughout project execution

– Manage client expectations on scope, timeline, and quality — proactively, not reactively

– Manage scope-change requests: document, price, and escalate to Operations Director before committing

– Attend handover inspections and obtain formal client sign-off documentation

5. Quality and Snagging

– Conduct snagging inspections at pre-handover and handover stages

– Classify and assign snag items by severity and responsible party

– Ensure all critical and major snags are closed before handover; document minor items with resolution timelines

– Enforce WOODEX installation and finish standards across all site teams and subcontractors

6. SOPs and Standards Development

– Build and maintain the WOODEX Fit-Out Project Management SOP library — covering all project phases, documentation requirements, site protocols, subcontractor management, and handover procedures

– Ensure SOPs reflect actual practice and are updated following project lessons learned

– Establish this documentation as the authoritative operational reference for the fit-out function

7. Team Management

– Recruit, onboard, and train subordinates within the fit-out and site management team in coordination with HR Department.

– Provide ongoing guidance, task delegation, and day-to-day supervision

– Conduct performance appraisals as directed by HR, using objective, evidence-based assessments

– Identify skill gaps and coordinate development interventions with the Operations Director

8. Reporting and Documentation

– Maintain a live project tracker covering all active and pipeline projects

– Submit a weekly status report to the Operations Director: schedule attainment, risk flags, budget variance, open snags

– Maintain complete site files: approved drawings, change orders, delivery confirmations, subcontractor agreements, and handover certificates

– Keep all active project data current in Odoo within 24 hours of each milestone event

9. Budget and Cost Control

– Track project cost against approved budget per job

– Flag variations requiring cost revision before they are executed on site

Review subcontractor and supplier invoices for accuracy and scope alignment before Accounts processing

Pay: KD650.000 - KD950.000 per month
