Job Title: Fixed Asset & Inventory Control Executive (Healthcare Sector)

Key Responsibilities

1. Fixed Asset Management

  • Maintain and update the Fixed Asset Register (FAR) for all medical and non-medical equipment.
  • Coordinate asset tagging (barcoding/RFID) and ensure traceability across all departments.
  • Perform periodic physical verification of assets and reconcile variances.
  • Monitor asset condition, depreciation schedules, and useful life in compliance with accounting policies.
  • Coordinate asset acquisitions, transfers, disposals, write-offs, and auction processes.
  • Support annual external and internal audits with required asset-related documentation.

2. Inventory Control

  • Manage inventory levels of medical supplies, pharmaceuticals, consumables, and general store items.
  • Track inventory movement using ERP or hospital information systems (HIS).
  • Conduct regular and cycle inventory counts; investigate and resolve discrepancies.
  • Ensure proper storage, handling, and expiry management of medical consumables.
  • Optimize stock levels to avoid stockouts or overstocking based on consumption patterns.
  • Collaborate with procurement and pharmacy for restocking and demand planning.

3. Compliance & Documentation

  • Ensure adherence to healthcare regulations, safety standards, and internal SOPs.
  • Maintain comprehensive documentation for assets, inventory transactions, and audits.
  • Support implementation of quality standards (e.g., JCI, NABH, ISO) relevant to asset and inventory control.
  • Ensure proper documentation of equipment calibration, maintenance, and AMC/CMC records.

4. System & Process Management

  • Utilize ERP/HIS modules for accurate data entry, reporting, and analysis (e.g., SAP, Oracle, Infor, Odoo).
  • Develop and update asset and inventory control workflows for operational efficiency.
  • Train department users on asset handling, inventory procedures, and system usage.
  • Identify gaps and recommend process improvements to reduce loss/pilferage and enhance traceability.

5. Reporting & Analysis

  • Generate regular reports on asset status, inventory levels, depreciation, and consumption trends.
  • Analyse equipment utilization and advise on optimization opportunities.
  • Present audit findings, variance analyses, and process improvement metrics to management.

Required Qualifications & Skills

Education

  • Bachelor’s degree in Accounting, Finance, Supply Chain, Business Administration, or equivalent.
  • Preferable: Certification in supply chain or asset management (e.g., CSCP, CIPS, CPIM).

Experience

  • 3–5 years of experience in fixed asset management or inventory control.
  • Healthcare sector experience (hospital, diagnostic center, medical device company) preferred.
  • Hands-on experience with ERP systems and asset/inventory modules.

Technical Skills

  • Strong Excel/ERP/HIS proficiency.
  • Knowledge of asset tagging methods (barcode, RFID).
  • Understanding of depreciation methods and basic accounting fundamentals.
  • Familiarity with medical equipment categories and consumable management.

Soft Skills

  • Strong analytical and problem-solving ability.
  • Excellent communication and coordination skills.
  • Detail-oriented with high accuracy.
  • Ability to work independently and under pressure.
