Fleet Manager

Job Responsibilities

  • Develop and oversee comprehensive fleet and waste collection operations plans, ensuring efficient route execution, vehicle availability, and timely service delivery, resulting in consistent achievement of service-level agreements and operational targets.
  • Review and endorse daily and weekly operational schedules and plans prepared by Fleet Controllers and Operations Support to ensure feasibility and alignment with performance expectations, enabling informed decision-making and operational excellence.
  • Coordinate across internal functions including Customer Service, Operation Support, Operations Support & Analytics and Workshop Management to synchronize operational activities and ensure smooth execution of routine, bulk, and emergency services, minimizing delays and maximizing service coverage.
  • Monitor daily field operations using real-time dashboards, GPS tracking, and field reports to proactively identify and troubleshoot service disruptions, vehicle breakdowns, or operational bottlenecks, ensuring uninterrupted service delivery and high route adherence.
  • Ensure effective coordination between the team and Operations Support team across all shifts to achieve consistent service execution, reduce operational friction, and minimize missed pickups or delays.
  • Provide on-ground decision-making support during service incidents to improve response time, reduce rework, and ensure continuity of field operations.
  • Act as the escalation point for critical operational issues, service failures, or stakeholder complaints, enabling fast-track troubleshooting and protecting service quality and brand reputation.
  • Manage root cause analysis of major field incidents and endorse corrective and preventive actions, reducing repeat occurrences and improving customer satisfaction.
  • Manage closure of escalated service complaints and validate incident resolution logs to ensure timely follow-up and learning application.
  • Collaborate with Workshop Management to schedule preventive maintenance, repairs, inspections, and decommissioning of vehicles, reducing unplanned downtime and ensuring fleet readiness across all shifts.
  • Review and endorse maintenance and decommissioning schedules based on fleet availability data and operational needs, maximizing resource utilization and service continuity.
  • Track performance trends and recurring vehicle issues to inform strategic decisions on replacements or fleet rotation, enhancing long-term cost-efficiency and reliability.
  • Analyse service performance reports, fleet utilization data, and route KPIs submitted by Fleet Controllers to identify deviations, inefficiencies, or risks, supporting data-led interventions and continuous improvement.
  • Validate operational data integrity across reporting systems to enable reliable decision-making and ensure audit readiness.
  • Identify systemic inefficiencies, resource constraints, or high-cost drivers across the value chain and implement targeted initiatives to optimize cost, time, and service quality.
  • Leverage GIS-generated route data and spatial analysis provided by the GIS team to optimize fleet deployment and enhance route planning decisions, resulting in improved field efficiency and reduced fuel consumption.
  • Manage routing, regular route optimization, and cost management activities, coordinating closely with the GIS Specialist to ensure efficient and cost-effective fleet operations.
  • Coordinate with GIS Specialist and Fleet Controller to pilot and adopt technology-driven solutions such as route optimization tools, mobile apps, or dashboard analytics, improving operational agility and service responsiveness.
  • Promote a safety-conscious culture through regular field oversight and discipline enforcement, resulting in improved risk resilience and lower incident rates.
  • Ensure responses to inquiries, service requests, and inspections from municipal entities and regulatory authorities, ensuring accurate reporting, timely coordination, and adherence to local waste management regulations and standards.
  • Manage internal and external audit by providing necessary documentation, ensuring smooth communication, and taking actions on audit findings to improve organizational processes and compliance.
  • Support and participate in community events, workshops, and meetings to promote awareness of waste management services and encourage community involvement.
  • Identify opportunities for improving operational efficiency, service quality, and sustainability, fostering a culture of continuous improvement to support the achievement of organizational objectives.
  • Perform any additional duties related to fleet management, service delivery operations and cross functional coordination as assigned by the line manager, ensuring alignment with organizational objectives, and contributing to the overall success of the team.
