The Facilities Coordinator is responsible for supporting the daily operations, maintenance, and administration of all properties within the company’s real estate portfolio. This role ensures that all facilities are safe, well-maintained, and compliant with company standards and regulatory requirements, while maintaining effective coordination among tenants, vendors, and technical teams.

Key Responsibilities:

  • Coordinate daily maintenance activities, including HVAC, electrical, plumbing, and mechanical systems.
  • Schedule and monitor preventive and corrective maintenance with technicians and contractors.
  • Maintain accurate records of assets, maintenance activities, and service logs.
  • Coordinate tenant move-in, move-out, and inspection processes with the property and technical teams.
  • Conduct property inspections before and after tenant occupancy and prepare detailed condition reports.
  • Manage invoice collection, verification, and submission with all required supporting documents.
  • Liaise with vendors and service providers to ensure timely and high-quality service delivery.
  • Monitor subcontractor performance and confirm proper completion of work.
  • Conduct site visits as needed to assess work progress and resolve maintenance issues.
  • Ensure all facilities comply with health, safety, and environmental standards.
  • Assist in preparing maintenance reports, purchase requests, and budget tracking.
  • Support the Facilities Manager in documentation, permit processing, and compliance-related activities.

Qualifications and Experience:

  • Bachelor’s degree or diploma in Computer Science, Engineering, Information Technology, or a related field.
  • 3–5 years of experience in facilities coordination, property maintenance, or a similar role.
  • Strong understanding of building systems (HVAC, electrical, plumbing, and mechanical).
  • Excellent organizational, communication, and documentation skills.
  • Willingness to visit project sites as required.
