Responsibilities

  • Greet visitors, clients, and staff with a warm and professional demeanor, ensuring a positive first impression.
  • Manage multi-line phone systems, screen calls, and direct inquiries appropriately using excellent phone etiquette.
  • Handle data entry, filing, and document proofreading to maintain accurate records and organized files.
  • Support office management tasks such as calendar management, appointment scheduling, and coordinating meetings.
  • Utilize computer skills including Microsoft Office Suite (Word, Excel, Outlook), Google Workspace (Gmail, Calendar), and basic bookkeeping tools like QuickBooks.
  • Assist with clerical duties such as copying, scanning, mailing, and maintaining office supplies inventory.
  • Provide customer support by addressing inquiries promptly and professionally in person or via phone or email.
  • Maintain a clean and organized reception area while managing office correspondence efficiently.

Requirements

  • Proven experience in office management or administrative roles with strong clerical skills.
  • Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment.
  • Proficiency in computer literacy including Microsoft Office Suite, Google Workspace, data entry, and basic bookkeeping software like QuickBooks.
  • Strong communication skills with an emphasis on phone etiquette and customer service excellence.
  • Bilingual abilities are highly desirable to assist diverse client needs.
  • Experience working with multi-line phone systems and handling front desk operations preferred.
  • Demonstrated ability to multitask while maintaining attention to detail; typing speed is an asset.
  • Previous experience in medical or dental receptionist roles is a plus but not required; familiarity with calendar management is essential.
