Duties

  • Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly.
  • Manage multi-line phone systems with professionalism, directing calls accurately and courteously.
  • Handle incoming correspondence, including emails and mail, with attention to detail.
  • Maintain organized filing systems, data entry records, and document proofreading to ensure accuracy.
  • Support office management tasks such as calendar management, appointment scheduling, and basic bookkeeping using QuickBooks or similar software.
  • Assist with clerical duties including typing reports, updating databases, and managing office supplies inventory.
  • Provide customer service support by addressing inquiries efficiently and professionally across various channels.

Skills

  • Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools.
  • Excellent organizational skills with the ability to multitask effectively in a busy environment.
  • Previous office or administrative experience, including clerical tasks like filing, data entry, and proofreading.
  • Exceptional phone etiquette and customer service skills to handle inquiries with confidence.
  • Bilingual abilities are highly desirable to serve diverse client needs effectively.
  • Familiarity with front desk operations in medical or dental settings is a plus.
  • Experience with office management software such as QuickBooks or similar bookkeeping tools is preferred.
