JOB TITLE: Front Desk Associate
DEPARTMENT: Visitor Services

I. FUNCTION: This part-time position is responsible for providing superior customer service at the CACVB Front Desk in a professional and cordial manner.
II. STATUS: Part-Time, Temporary / non-exempt
III. SPECIFIC REQUIREMENTS:

Must be able to work up to 25 hours per week, Monday - Friday.

Ability to balance several skills at once.

Knowledge of computer systems and the Internet.

Good typing skills.

Knowledge of Charleston area attractions and events.

Ability to operate cash register/data processing equipment.
IV. SPECIFIC DUTIES:
-
Assist all members of the CACVB when possible while keeping priority of phone calls in mind.
-
Check in guests and vendors upon their arrival via electronic sign-in sheet in Google Drive, providing them with a Guest sticker, and notifying appropriate staff of the guest's arrival.

Answer incoming calls to the CACVB in a cordial, professional manner, and refer specific calls to the proper staff member by politely asking questions.

Preserve order of CACVB Front Desk area.

Assist staff with reserving CACVB Meeting Rooms
-
Update digital signage for CACVB Meeting Room Calendars.
-
Assist with daily management of the CACVB Check Log.
-
Maintain a record of incoming packages for staff.
-
Assist with sorting and distributing incoming mail for CACVB staff members.
-
Enter visitor leads into the computer as needed.
-
Assist visitors to CACVB Executive Office seeking to receive a bulk quantity of Visitors Guides and Maps and record any items distributed via Simpleview CRM
-
Attend monthly Visitor Services staff meetings.
-
Assist with special projects as assigned.
-
Be familiar with CACVB publications and websites.
-
Promote the organization through awareness of Bureau activities.
-
Visit area tours and attractions to remain current on visitor services and interests.

Assist with Visitor Services operations as needed, including:
-
Serve visitors to all area visitor centers in a cordial, outgoing, professional manner when needed.

Assist visitors electronically via live chat at ExploreCharleston.com.
-
Submit requests for visitor information using Simpleview CRM.
-
Record partner referrals using Simpleview CRM.
-
Assist with proofreading various CACVB websites for errors as assigned.
-
Submit event suggestions each week to be considered for inclusion in the CACVB Events Calendar.
-
Be responsible and accurate with ticket/publication sales as well as all counter duties in the Charleston Visitor Center's Visitor Planning and Marketplace areas.
V. TO ENSURE ORDERLY OPERATION:

Provide backup to the CACVB Front Desk as assigned.

Provide backup to the CACVB Charleston Visitor Center as assigned.
-
Handle other support services as assigned.
VI. ESSENTIALNON-ESSENTIAL REQUIREMENTS (In compliance with the ADA):
Essential Functions:

Access to reliable transportation

Ability to perform mathematical calculations accurately

Must be able to attend monthly staff meetings, typically held after standard work hours
Non-essential Functions:

Ability to stretch and reach in various directions while in a kneeling, standing, sitting or crouching position.

Able to lift a maximum of 50 pounds.
VII. IMMEDIATE SUPERVISOR: Assistant Director of Visitor Services
