Role Summary

The role serves as the organization’s primary POC for visitors, calls, and general inquiries. It enhances the company’s professional image by managing reception services, coordinating travel support, and maintaining accurate visitor and courier records while assisting with administrative tasks.

Duties And Responsibilities

  • Oversee reception operations including call handling, guest reception, and general email response.
  • Operate the Visitor Management System (VMS), maintaining accurate entry/exit records and generating weekly reports.
  • Manage all outgoing courier dispatches and maintain logs with sender, receiver, date, and tracking ID.
  • Prepare weekly dispatch activity reports.
  • Handle printing needs including official stationery, gift boxes, greeting cards, stamp papers, and agreements.
  • Track inventory and ensure timely distribution of stationery, maintaining complete delivery logs.
  • Manage travel arrangements including air tickets, hotel bookings, visas, and transportation in coordination with employees and internal teams.
  • Maintain updated understanding of travel platforms and travel-related protocols.
  • Process online payment and credit card billing cycles and reconcile all billing records with Finance.

Job Specifications

  • Bachelor’s degree in Business Administration, Management, or related field.
  • 1-2 years of front desk or receptionist experience.
  • Strong communication and customer-handling skills.
  • Proficiency in MS Office (Word, Excel, Outlook).
  • Ability to multitask in a fast-paced environment.
  • Professional demeanor and strong interpersonal skills.
