Job Summary
This is a part-time possibly moving to a full-time, on-site Receptionist role located in Las Vegas, NV. The Receptionist will handle front desk operations, including answering and directing phone calls, welcoming clients, managing appointments, maintaining office records, and assisting with various administrative tasks to ensure the smooth running of the office.
Duties
- Greet visitors, clients, and staff with professionalism and warmth, ensuring a positive first impression.
- Answer multi-line phone systems promptly and courteously, directing calls efficiently and taking detailed messages when necessary.
- Manage appointment scheduling and calendar management using Microsoft Office and Google Workspace tools.
- Perform data entry, filing, and document proofreading to maintain accurate records and ensure document integrity.
- Handle incoming and outgoing correspondence, including emails, mailings, and courier services.
- Support office management tasks such as supply inventory, basic bookkeeping using QuickBooks, and maintaining office organization.
- Assist with clerical duties such as photocopying, faxing, typing reports, and supporting customer service efforts to ensure seamless daily operations.
- Maintain a clean and organized reception area while practicing excellent phone etiquette and customer support skills.
- Provide bilingual support when needed to serve diverse client needs effectively.
Experience
- Spanish Speaking/Bilingual is highly preferred.
- Previous office experience or clerical experience is preferred for this role.
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications.
- Familiarity with multi-line phone systems and office management software such as QuickBooks is advantageous.
- Excellent organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment.
- Demonstrated customer service skills with a friendly demeanor and professional phone etiquette.
- Experience in medical or dental receptionist roles is a plus but not required; relevant personal assistant experience is also beneficial.
- Bilingual abilities are highly valued to support diverse clientele effectively.
- Ability to handle data entry accurately, proofread documents meticulously, and manage time effectively for optimal productivity.
