Front Desk Receptionist

About the Role

Lightspeed VT is looking for a highly professional and personable Receptionist to be the first point of contact for our visitors, clients, and callers. This position plays a vital role in setting the tone for our company’s image while ensuring a clean, organized, and welcoming environment at all times. You’ll be the friendly face at the front desk, a detail-oriented office coordinator, and a reliable support partner for our executive team.

Key Responsibilities

Front Desk & Guest Experience

  • Greet all visitors and callers warmly and direct them appropriately.
  • Answer and route calls on the main phone line, taking messages as needed.
  • Maintain the daily Welcome Sign and Lightspeed Daily newsletter by 9:00 AM.
  • Serve as gatekeeper for the CEO and CTO by screening calls and visitors.
  • Manage visitor check-ins and ensure guests are never left unattended.

Office Presentation & Cleanliness

  • Open and close the office each day following established protocols.
  • Keep the lobby, lounge, and boardroom guest-ready throughout the day.
  • Restock coffee, water, and office supplies regularly.
  • Maintain common areas, kitchen/bar, and fridges to ensure a clean workspace.
  • Prepare conference rooms for meetings and next-day use.

Administrative & Operational Support

  • Log employee attendance and breaks in Google Drive timesheets.
  • Update employee extensions and contact lists.
  • Manage mail, packages, and supply orders (Costco and other vendors).
  • Maintain storage rooms and supply cabinets in an organized fashion.
  • Provide support to the Office Manager, CEO, CTO, and Executive Assistant.

Technology & Systems

  • Manage Jive phone system extensions and voicemail greetings.
  • Set up and update the Nixplay welcome screen.
  • Provide coffee service using the espresso machine as needed.

Calendars & Scheduling

  • Book and manage conference room schedules.
  • Monitor and update employee, visitor, CEO, studio, and room calendars.
  • Ensure employee status changes (late, out sick) are reflected accurately.

Performance Expectations

  • Visitors feel welcomed, comfortable, and cared for.
  • Phones are answered within two rings and routed correctly.
  • Front office, conference rooms, and common spaces remain pristine.
  • Timesheets, logs, and administrative tasks are consistently up to date.
  • Daily open/close protocols are followed without exception.

  • Tech-savvy and comfortable with tools like Google Workspace, Jive, and Nixplay.

Pay: $40,000.00 per year
