Front Desk Receptionist

Job Summary
We are seeking an energetic and detail-oriented Front Desk Receptionist to be the welcoming face of our organization. Responsibilities

  • Greet visitors, clients, and vendors warmly and professionally, ensuring they feel welcomed and valued
  • Manage multi-line phone systems efficiently, directing calls accurately and courteously
  • Handle incoming correspondence, including emails and mail distribution, with attention to detail
  • Maintain appointment calendars and schedule meetings using calendar management tools
  • Perform data entry, filing, and document proofreading to ensure accuracy and organization
  • Support office management tasks such as supply inventory, record keeping, and basic bookkeeping using QuickBooks or similar software
  • Assist with administrative duties including typing reports, supporting customer support efforts, and managing general clerical tasks

Skills

  • Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
  • Excellent phone etiquette and customer service skills to handle inquiries professionally
  • Bilingual abilities are highly desirable to serve diverse clients effectively
  • Proven office experience with strong organizational skills and attention to detail
  • Familiarity with multi-line phone systems, data entry, filing systems, and proofreading processes
  • Ability to manage time efficiently in a fast-paced environment while prioritizing tasks effectively
  • Experience in medical or dental receptionist roles is a plus but not required; personal assistant experience is beneficial
  • Knowledge of office management practices including calendar management and basic bookkeeping skills
