JOB DESCRIPTION
POSITION: Receptionist/Clerical Support Staff
SUPERVISOR: Front Desk Supervisor

JOB SUMMARY: Provides clerical services to health centers’ patients according to the CAA policies/procedures.
SPECIFIC DUTIES:
ESSENTIAL FUNCTIONS
- Follows CAA policies/procedures, including current HIPAA regulations
- Greets incoming patients, clients and visitors
- Answers incoming telephone calls, takes messages and assures accurate documentation and routing of such messages to appropriate staff
- Facilitates access by scheduling patient appointments, directing phone calls and other information to appropriate staff
- Prepares provider schedules, provider productivity reports, no-show reports, appointment reports and other reports as assigned
- Coordinates and facilitates patient registration including completion and updating of all patient data and appropriate forms according to policies/procedures and as requested by supervisory staff
- Serve as receptionists, general office clerks, and other clerical support as assigned
- Assures clinic encounter forms are completed accurately and timely
- Orders office supplies as directed by supervisory staff
- Collects and records patient payments on current and past due balances
- Offers payment plans according to policies/procedures
- Obtains correct insurance information and subscriber demographics
- Checks Real Time Eligibility for each payer at each patient visit
- Maintains computer records regarding patient information, statistical information or other pertinent data
- Assist in the development and planning of a work plan as needed and assigned by the Supervisor or Medical Director
- Assures accurate and timely completion of updating appropriate consent, financial and
demographic forms
17. Participates in performance improvement activities, collaborations and committees as

18. Cross-trains with other health center staff as assigned
19. Participates in health fairs and community outreach programs as assigned
20. Travels when necessary to fulfill the corporation’s needs and attends meetings as
necessary to represent the corporation and/or the Health Centers
21. Maintains compliance with all laws, regulations, and policies as defined by Federal, State
and any other regulatory body
22. Other duties as assigned
REQUIRED JOB QUALIFICATIONS:
ADDITIONAL REQUIREMENTS AND CONDITIONS OF EMPLOYMENT:
- 1-2 years of experience in health care is preferred
- Effective interpersonal communication skills
- Knowledge of general office procedures and equipment
- Background check including Ohio Bureau of Criminal Investigation, Medicare exclusion list, verification of valid driver’s license, employment medical exam, including a TB test, adherence to all CAA policies/procedures and requirements of all funding sources. CAA is a drug/alcohol-free and smoke-free workplace and post-offer drug and alcohol testing is required
- Ability to work in several locations
- Proficient in computer use
- Ability to accurately carry out required tasks in a timely manner
- Ability to work with minimal supervision
- 90-day probationary period
PHYSICAL REQUIREMENTS:
- Ability to lift/carry up to 25 pounds
- Ability to push, pull, carry, lift, bend, twist, reach, sit, stand for lengthy periods of time; ability to walk for extended periods of time
- Ability to work in a fast-paced and often high-stress environment as well as the ability to adapt quickly to workload changes
- Ability to deal with inside and outside clientele in a diplomatic and courteous manner while assuring adherence to CAA policies/procedures
- Above average oral, reading and writing skills to accurately operate a computer, perform necessary documentation and effectively communicate with staff, patients, clients, customers, business partners, other CAA departments and visitors
