Responsibilities

  • Greet visitors, clients, and staff with enthusiasm, providing excellent customer service and support.
  • Manage multi-line phone systems efficiently, directing calls to appropriate departments or personnel with professionalism.
  • Handle appointment scheduling and calendar management using tools like Google Workspace and Microsoft Office.
  • Perform data entry, filing, and document proofreading to maintain accurate records and ensure document quality.
  • Maintain office supplies inventory, coordinate office management tasks, and support administrative functions such as photocopying and mail distribution.
  • Assist with bookkeeping tasks using QuickBooks or similar software to support financial recordkeeping.
  • Provide support for special projects or personal assistant duties as needed, demonstrating strong organizational skills and time management.

Qualifications

  • Proven office experience with strong clerical skills, including data entry, filing, and proofreading.
  • Excellent computer literacy with proficiency in Microsoft Office (Word, Excel), Google Workspace, and basic office management software.
  • Experience handling multi-line phone systems and practicing professional phone etiquette.
  • Bilingual abilities are highly desirable to serve a diverse clientele effectively.
  • Strong organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment.
  • Previous customer service experience with a focus on customer support and effective communication.
  • Knowledge of office procedures such as calendar management, record keeping, and basic bookkeeping is preferred.
