Role Purpose:
Provide comprehensive and confidential administrative support to the General Manager, ensuring effective coordination, time management, and prioritization of business-critical activities as well as close collaboration & coordination of Country Leadership Team members. This role contributes to the overall productivity and operational efficiency of the leadership by acting as a trusted partner in communication, scheduling, and task execution.
Role Core Responsibilities & Accountabilities
Manage the GM’s calendar, schedule meetings, and coordinate internal and external appointments to optimize time at maximum efficiency & ease.
Smoothly organize complex travel arrangements, including visas, transportation, and accommodations; manage related expense reports.
Prepare, edit, and format presentations, reports, and other communications with high accuracy and professionalism.
Ensure confidentiality and discretion in handling sensitive and strategic information.
Coordinate logistics for key leadership team meetings, town halls, and business events.
Support follow-up on action items, meeting summaries, and project tracking.
Manage correspondence, screen calls/emails, and respond or redirect
appropriately on behalf of the GM.
Serve as the liaison between the GM and internal/external stakeholders to ensure alignment and responsiveness.
Lead or contribute to special projects, business initiatives, and internal communications as delegated.
Maintain a strong understanding of business priorities to proactively manage competing demands.
Order and maintain office supplies and ensure the GM’s work environment is functioning efficiently.
Provide general administrative support for document management, database upkeep, and filing systems.
Support and partner with other assistants and departments to foster seamless office operations and collaboration.
Handle onboarding coordination for direct reports or key visitors as needed.
Represent Takeda values and professionalism in all interactions, both internally and externally.
Act as a proactive partner to the GM, anticipating needs, preparing materials, and flagging potential issues before they escalate.
Organizing / managing the Country Leadership Team Calendar & Governance
High interest in new digital ways of working / ultimate usage of digital collaborationb tools especially during / after the Leadership team meetings
Serve as a gatekeeper and confidante, demonstrating sound judgment and diplomacy in high-stakes or time-sensitive matters.
Support a positive organizational culture by modeling Takeda values, contributing to inclusion, collaboration, and communication across teams.

Team in a timely manner

Speak-up for Integrity: Raising concerns in a good faith to Ethics Line, first line manager and/or E&C Team
Qualifications
Bachelor’s degree preferred; vocational/business school graduate with strong administrative background acceptable.
Minimum 5 years of relevant experience supporting senior leaders, preferably in a multinational organization.
Fluent in Turkish and proficient in English, both verbal and written.
Proficient in Microsoft Office (Outlook, PowerPoint, Word, Excel); experience with travel/expense systems (e.g., Concur).
Experience in managing confidential data and handling executive-level communication.
Experience supporting C-level executives or global leadership is a strong plus.
Event planning or internal communications experience is an advantage.
Experience in a fast-paced or transformation-heavy environment preferred.
