Role Overview

We are seeking a strong, mature, and highly capable administrative professional to support the fast-paced, high-visibility operations of the Guest Experience Department . This role requires an individual who can manage the complexity and pressure of a dynamic environment with professionalism, agility, and attention to detail.

Key Competencies and Expectations

  • High Emotional Intelligence: Ability to stay composed under pressure and tactfully manage sensitive communications and VIP interactions.
  • Project Management: Proven experience supporting large-scale events or high-profile projects with strong planning, tracking, and reporting skills.
  • Executive-Level Administration: Efficient management of calendars, logistics, and documentation for senior management while handling confidential information with discretion.
  • Operational Agility: Ability to work across multiple priorities, shift focus quickly, and handle last-minute changes with a solution-oriented mindset.
  • Stakeholder Coordination: Liaise effectively with cross-functional teams, vendors, and external stakeholders to ensure seamless event and guest operations.

Key Responsibilities

  • Provide high-level administrative support to the Guest Experience Director and broader team
  • Coordinate and track departmental projects, timelines, and deliverables
  • Maintain organized documentation, meeting notes, task trackers, and follow-ups
  • Support event-related logistics and protocol coordination
  • Prepare reports, presentations, and official correspondence in both Arabic and English
  • Serve as the go-to contact for internal and external communications for the department

Additional Requirements

  • Flexibility in working hours is essential. Due to the dynamic nature of the department, the candidate must be open to early mornings, late evenings, or weekend assignments as dictated by event schedules or protocol engagements.
  • Proactive attitude and ownership mentality: someone who goes beyond the checklist and finds ways to anticipate needs and pre-empt issues.
  • Familiarity with government protocol, guest logistics, or events coordination is a strong plus.
