The HR & Admin Officer/Manager is responsible for managing end-to-end human resources functions and ensuring smooth administrative operations within the academy. The role supports the institution’s academic mission by ensuring effective recruitment, staff welfare, compliance, operational efficiency, and a positive working environment.
KEY RESPONSIBILITIES
Human Resources ManagementRecruitment & Staffing
- Identify staffing needs in coordination with academic and non-academic departments.
- Prepare job descriptions, post job ads, screen resumes, conduct interviews, and onboard new employees.
- Ensure timely hiring of teachers, trainers, administrative staff, and support staff.
- Coordinate with accounts for salary processing, attendance inputs, increments, and deductions.
- Manage reimbursements, leaves, overtime, and benefits administration.
Onboarding & Orientation
- Conduct induction programs for new hires.
- Prepare joining formalities, documentation, ID cards, and employee files.
Performance Management
- Support planning and implementation of KPIs and annual performance appraisals.
- Track attendance, punctuality, performance issues, and disciplinary actions.
- Facilitate employee feedback and development programs.
Employee Relations
- Maintain a positive work culture through communication, conflict resolution, and engagement activities.
- Address employee queries, complaints, and grievances professionally.
- Plan staff welfare initiatives, training, and team-building activities.
HR Compliance & Policies
- Develop, update, and implement HR policies, code of conduct, and SOPs.
- Ensure compliance with labor laws, contracts, and statutory requirements.
- Maintain the employee attendance system and leave management.
Administration Management General Administration
- Oversee day-to-day administrative operations of the academy.
- Manage office supplies, inventory, procurement, and vendor coordination.
- Ensure maintenance of facilities, classrooms, equipment, and cleanliness.
Academic Support Administration
- Assist in scheduling classes, examinations, and events.
- Coordinate with teachers, parents, students, and departments for operational needs.
- Support admission processes, student records, and documentation when required.
Documentation & Record Keeping
- Maintain confidential HR and administrative records, contracts, and reports.
- Prepare monthly reports for management—HR metrics, attendance, recruitment, training, etc.
Safety, Compliance & Legal
- Ensure adherence to health & safety guidelines within the campus.
- Manage insurance, EHS compliance, and security protocols.
SKILLS & QUALIFICATIONSEducation
- Bachelor’s degree in HR, Business Administration, Management, or related field.
- MBA/PGDM in HR preferred.
Experience
- 2–3 years of HR & admin experience, preferably in an educational institution or service industry.
Key Skills
- Strong communication and interpersonal skills.
- Knowledge of HR laws, policies, and HRMS systems.
- Administrative management and problem-solving ability.
- Multi-tasking, organization, and attention to detail.
- Proficiency in MS Office, Google Workspace, and record-keeping
