Reports to: HR Manager

Job Purpose

The HR Coordinator plays a vital role in supporting the Human Resources function by ensuring smooth coordination of HR operations and processes. This role focuses on employee relations, recruitment support, documentation, HR system updates, and compliance with UAE Labor Law (Federal Decree Law No. 33 of 2021). The HR Coordinator serves as the link between employees and management, providing timely assistance and ensuring that HR policies and procedures are applied consistently across the organization.

Responsibilities & Duties

Recruitment & Onboarding

  • Assist in posting job advertisements, screening applications, and scheduling interviews.
  • Coordinate candidate communications, interview logistics, and testing arrangements.
  • Support the onboarding process by preparing job offers, contracts, and induction schedules.
  • Ensure proper collection and verification of employee documents (passport, visa, certificates, etc.).

HR Administration

  • Maintain and update employee records in HR systems and personnel files.
  • Process staff requests related to leaves, attendance, transfers, and employment letters.
  • Prepare HR-related reports (manpower, turnover, recruitment status, etc.) for management.
  • Ensure compliance with UAE Labor Law in all HR transactions and documentation.

Employee Relations & Support

  • Act as the first point of contact for HR-related queries from employees.
  • Coordinate grievance, disciplinary, and performance management processes as directed by the HR Manager.
  • Support initiatives that enhance employee engagement and welfare.
  • Assist in organizing training, workshops, and company events.

Payroll & Benefits Support

  • Coordinate with accounts/payroll for accurate processing of salaries and benefits.
  • Track employee leaves, overtime, deductions, and allowances for payroll input.
  • Maintain confidentiality of employee salary and personal information.

Compliance & HR Policies

  • Ensure company HR policies are communicated, understood, and implemented consistently.
  • Support the development and update of HR manuals, policies, and procedures.
  • Assist in preparing documentation for internal/external audits and government inspections.
  • Coordinate with PRO for visa renewals, medicals, and other government-related requirements.

Education Requirements

  • Bachelor’s degree in human resources, Business Administration, or related field.
  • HR certification (CIPD, SHRM, CHRP ) is an advantage.

Work Experience & Skills

  • 2–4 years of experience in HR coordination or administration, preferably in construction/contracting.
  • Solid knowledge of UAE Labor Law and HR best practices.
  • Strong organizational, multitasking, and time-management skills.
  • Proficiency in MS Office (Word, Excel, PowerPoint); knowledge of HR software/ERP preferred.
  • Excellent communication and interpersonal skills, with the ability to handle sensitive information confidentially.
  • Fluency in English required; Arabic is an added advantage.
