1. Attendance Management
- Monitor daily attendance, including logging in and out times, break times, and total hours worked.
- Track absenteeism, lateness, and early departure incidents, and update records accordingly.
- Ensure that attendance records are accurate and up-to-date in the system.
2. Leave Management
- Process leave applications, ensuring they comply with company policy.
- Maintain records of employee leave balances (sick leave, annual leave, casual leave, etc.).
- Coordinate with HR to update payroll with leave deductions or adjustments.
3. Time Tracking System Management
- Manage and maintain biometric or other time-tracking systems.
- Troubleshoot any issues with time-tracking devices and coordinate repairs if needed.
- Generate reports from the time-tracking system for HR and management review.
4. Shift and Schedule Coordination
- Create and maintain shift rosters, ensuring coverage across all shifts as needed.
- Communicate shift changes and schedules to employees and department heads.
- Manage shift swaps and ensure proper record-keeping of shift adjustments.
5. Payroll Support
- Provide accurate attendance data to payroll for monthly salary processing.
- Address any discrepancies in payroll regarding attendance or leave with the payroll team.
6. Policy Enforcement and Compliance
- Enforce attendance policies, such as arrival, break, and departure times, as well as company guidelines.
- Issue warnings or reports for attendance-related violations in consultation with HR.
- Support in implementing and revising time office policies.
7. Employee Queries and Support
- Handle employee inquiries regarding attendance, leave, and shift schedules.
- Provide guidance on attendance policies and procedures as required.
8. Reporting and Analysis
- Generate weekly or monthly attendance reports, highlighting patterns of absenteeism or tardiness.
- Analyze data to identify attendance trends and suggest corrective actions.
9. Coordination with Other Departments
- Collaborate with HR and department heads to ensure accurate timekeeping for project planning and resource allocation.
- Coordinate with IT for any technical support required for the time-tracking system.
10. Documentation and Record Maintenance
- Maintain organized records of attendance, leave, shifts, and related documents for audit purposes.
- Archive past records in line with company policy and legal requirements.
