Purpose of the role:

To provide comprehensive administration support to the HR department in all aspects of HR. Working closely with the HR Team to ensure a high-quality HR service is delivered to the business.

Key Areas of Responsibilities:

Ø Recruitment: To assist the Head of Human Resources in the recruitment process.

Ø Induction & Onboarding: Responsible for the boarding process for the new joiners which includes welcoming new employees, completing their documentation, providing stationery and other office assets, assigning workstation, coordinating with the IT team for laptop, email ID etc. Updating, processing and filing employee documents in respective files. Uploading the same in the HR drive and HRMS and continuously updating it.

Ø Administration of Medical Insurance Policies: To ensure that the medical insurance database is up-to-date and assist the HR Manager during the renewal process of employee related policies. Managing the timely addition and deletion of group medical insurance policies and coordination with the brokers/providers for invoices/credit notes and liaise with the finance for timely payments. Moreover, to act as a mediator in order to settle medical claims, treatment approvals etc.

Ø Visa Processing: To fully administer the DMCC & DHCC portals and coordinate with the PRO for new visa application/renewal/cancellation/medical fitness test/MOL training and Emirates ID process of employees. Further, to scan and send the renewed documents to the respective employees/HODs in addition to updating the tracker/master file for the same. Moreover, to provide the relevant documents to QHSE department in order to process the Occupational Health Cards for employees.

Ø Personnel Files & Employee Master: To ensure that the HRMS is up to date with the employee details in addition to constantly updating the employee master file. Completely responsible for documentation, maintaining personnel and other HR files. Further, uploading the same in the HRMS and HR shared drive. Faxing, printing, photocopying, filing and scanning all documents pertaining to HR department.

Ø Employee Relations: To act as an info-hub for providing accessible employee and Human Resources related information/forms/formats/templates.

Ø Letters & Certificates: Preparing and providing of all HR related letters to the employees i.e. salary certificates, NOCs, salary transfer letters, experience letters etc.

Ø Purchase Orders: To prepare the Purchase Orders for HR department and keep a track until closure in order to ensure timely processing of the same.

Ø Company Stamps, Passports & Stationery: Be the custodian of company stamps, employees’ passport & HR stationery and maintain adequate documentation for relevant transactions.

Ø HR Administration: Upkeeping of general office administrative facilities and ensure the availability of daily miscellaneous requirements to provide a harmonious work culture for employees. Supervising the Office Boys in the head office and assigning tasks to them.

Ø Travel Desk: Managing the company travel desk. Issuing tickets and visas for business travels. Issuing air tickets to employees as and when required for their entry and exit along with all necessary documentation and visa applicable.

Ø HR Events: To liaise with the internal as well as external partners and ensure that various HR Events are well organized in line with the company policy and standards.

Ø Exit Formalities: To ensure a proper handover relating to any HR assets during the exit of the employee and guide the employees to complete the clearance formalities.

Ø General: Any other duties assigned by the Head of Human Resources.

Professional Requirements:

· Minimum of a graduation or diploma

· Minimum of 2 years’ experience in human resources within a busy environment

· Excellent IT skills, particularly Microsoft Excel and Word

· Ability to demonstrate a professional, confident and ‘can do’ attitude

· Excellent organization and time management skills

· Ability to maintain confidentiality at all times

Salary: AED 4,000/Month for the first 6 months and 4,500.00 thereafter
