HR Operations Specialist

Job purpose:

Drives organizational efficiency by managing the day-to-day administration of the employee lifecycle, ensuring data integrity within HRIS systems, and ensuring compliance with labor laws.

Scope:

Manages the day-to-day, administrative, and technical functions of the HR department to ensure efficient employee lifecycle management

Core responsibilities:

  • Provide day-to-day administrative support for HR operations and assist in coordinating activities across all HR functions.
  • Process new hire entries, compensation changes, and terminations in HRIS (UKG)
  • Upload and maintain compliant personnel files and employee documentation (UKG / SharePoint)
  • Support HR audits, reporting, and data reconciliation across HR systems and support reconciliations, and year-end reporting as needed.
  • Support HRIS manager in HR reporting and HR metrics
  • Support payroll process across multiple regions in partnership with finance and external vendors while ensuring accuracy and timeliness.
  • Conduct regular HRIS audits to ensure data accuracy and legal compliance.
  • Assist with maintaining and updating HR policies, employee handbooks, and internal procedures.
  • Support immigration and right-to-work processes with legal counsel and internal stakeholders where required.
  • Assist with global onboarding and offboarding activities, ensuring smooth employee experience.
  • Support global HR projects
  • Other duties as assigned.

Required experience and skills:

  • Bachelor’s degree in HR, business, or related field, or equivalent practical experience.
  • 4-6 Years Solid working experience of best practices in all HR functions.
  • HRIS competence (transaction accuracy, reporting, dashboards).
  • Strong analytical skills.
  • Strong judgment, confidentiality, and integrity with sensitive information.
  • Clear communication skills and ability to collaborate across regions and time zones; shares learnings and supports global ways of working.
  • Influences without relying on formal authority; builds trust with leaders and employees.
  • Skilled in complex issue intake, documentation, triage, and policy interpretation.
  • Able to manage changing priorities and deliver reliably.
  • Hands-on ownership: follows through and closes loops.
  • Strong understanding of Business English used in a global corporate environment.
