HR Operations Supervisor

Job Purpose
To supervise and execute tactical HR Operations functions to provide the best HR services to internal customers (staffs and external customers (clients). The role is responsible for implementing HR policies and procedures with the objective of recruiting, developing, and retaining talent.
2. Key Responsibilities
* Supervise the entire VISA lifecycle, from issuance to cancellation, including onboarding of new employees, repatriation, separation, and deportation of separated ones by controlling repatriation expenses.
* Initiate and execute the complete recruitment cycle through internal and external sources as per the approved manpower budget.
* Provide induction training to all new staff and serve as the first point of contact for them during the joining process.
* Supervise the creation, maintenance, and timely updating of employee records in both the HRMS software and physical personnel files.
* Address all employee grievances, investigations through counseling, and maintain healthy employee relations.
* Ensure all medical and other compensation claims by employees are provided on time.
* Initiate and execute the performance management system across all functions on an annual basis and provide a rewards plan.
* Administer the Training and Development function of the organization.
* Execute the HR support systems and business applications and suggest measures to improve operational efficiency by reducing delays, defects, and variances in results.
* Adhere to budgets in conjunction with HRD budgets, track expenses, and report.
* Execute the payroll function on time.
3. Dimensions/Context
* Financial & Non-Financial Impact: This role has an impact on end results such as the department budget, cost of operation, sales margin, operating income, and staff headcount.
* The job holder is responsible for all visa-related expenses.
* The job holder is responsible for reward proposals that have a recurring impact on compensation and benefits.
* The job holder is responsible for the HR MIS required for business operations.
4. Job Complexity/Judgment
* Ability to ensure timely visa process, renewal, and cancellation to avoid fines.
* Ability to handle employee grievances and provide counseling to enhance employee morale.
* Ability to ensure employee relations and welfare.
5. Key Relationships (Internal & External)
* Internal: Functional Heads, Supervisors.
* External: Clients, Recruitment agencies, Vendors.
6. Job Specification
* Education:
* Minimum Bachelor's Degree in Business Administration with an emphasis on Human Resource Management and/or Organizational Behavior or a related field.
* A professional certificate in Psychometric assessment, Training Administration or HR Generalist will be a plus.
Training / Skills:
* Microsoft Office - Advanced level.
* Knowledge of HRMS software.
* Knowledge of UAE Labour Laws.
* HR functional knowledge.
Work Experience:
* Minimum 3 years of experience in an HR supervisory role.
* Experience in the services industry or outsourcing function highly preferred.
